Have you ever been confused by the difference between reservations and events in the calendar?
Although members may use the terms interchangeably, events and reservations actually mean different
things.
An event is a scheduled activity that belongs to a specific calendar. It’s some meeting
or activity that really will take place.
In contrast, a reservation is an assigned time that a unit has to location or room.
It doesn’t mean the unit has actually scheduled an event. It’s merely a granting of rights
to a particular unit to a location at a particular time.
Let’s take a look. To view reservations, go to Settings and select Reservations. Only
building schedulers will see this option, because only building schedulers can create
reservations.
In this example, three different wards have rights to schedule the Beachview meetinghouse:
the Eagle’s Gate Ward, the Kennekuk Ward, and the Rock Creek Ward. The Eagle Mountain
Utah North stake also has rights to schedule it. You don’t see specific calendars here,
because reservations can only be made for units as a whole.
Now let’s switch over to the Week view to get a better idea of the reservations taking
place.
During the week, Rock Creek gets the Beachview meetinghouse from 6-10 pm on Tuesday, Eagle’s
Gate gets it during the same time on Wednesday, and Kennekuk gets it on Thursday. The white
fill always refers to a reservation on the calendar. The reservation doesn’t mean the
ward has scheduled an event, only that they can schedule an event.
Notice the gray-colored event on Thursday. Gray-filled events are events taking place
at the location. The Kennekuk Ward has scheduled an event during their reserved time, but they’re
only using part of their possible time.
You can also view reservations in the Week view of the calendar, so let’s go there.
I’ve got Week selected, and for the sake of simplicity, I’m going to clear all the
location check boxes except the Beachview meetinghouse.
You can see several things. First, there are events scheduled during the reserved time
that you didn’t see before. However, none of the events includes a location (you can
tell by the absence of a location icon), so they are inconsequential as far as scheduling
goes. This is why they didn’t show up (except for just one) on the Reservations calendar.
Second, some of the events appear in color. This is because the events belong to my Subscribed
Calendars.
And finally, the reservations appears in white, beside the event.
The event in gray, which does include a location, is from a calendar that I’m not subscribed
to. If I click the event and view the details, I can see that the event was created by someone
from the Kennekuk ward. This makes sense, because only the Kennekuk ward has rights
to schedule the cultural hall during this time.
