To invite an employee into to the employee portal you can click into the employee go
to the options button and invite them to have access to the portal. Alternatively, once
you've setup all the employees you can also invite them in bulk by selecting them all
clicking Invite to portal.
They will receive an invite by email where they can accept the invite and then they can
use their existing Xero login or create a new login if they don't have one.
From the employee portal they can view payslips, submit leave requests and timesheets.
So lets take a closer look at how that works in our next tutorial.
Once employees are invited in to have access to the My Payroll the employee portal they
Lets start with Leave Requests.
First select the leave type from the drop down provided. For this example we'll select
Annual Leave. Call it what you want and put in some description. Start date and finish
date and finally select the individual or individuals who can authorise the leave. Xero
will only require one of them to authorise it, so nice and simple, it'll be fully authorised
by whichever approver gets to it first.
The employee can save that time sheet they submitted as a template so they don't have
to fill in the same details every week if it's going to be similar for the most part.
They can of course tweak it for any variations that happened that week before submitting
it for approval each time.
Now we'll submit a timesheet for approval. Select 'Add Period' for the week you're filling
it out for
Now populate the details like earnings rate, a tracking category if applicable and the
hours worked. You can save it as a draft to come back and finish it later or click on
submit and select who is going to be approving it.
Now lets swap over to the approvers view of Xero. When they go to My Payroll, their employee
portal in Xero they will be able to review pending leave requests and timesheets and
then either approve or reject them.
Now lets swap over to the payroll administrators view of Xero. They can see everything.
Leave requests? They can see both pending and approved leave requests which they can
and Save and now the leave is scheduled for that payrun.
The payroll administrator can also go to the timesheets and bulk approve them or click
into them and approve one by one. Normally the manager would approve these and they'll
become automatically a part of the employees pay but the payroll admin has the ability
to approve all leave and timesheet requests as well.
