Welcome to SWING PDF Converter for Lotus Notes.
In this example we'll see how a project folder in a Notes mailbox
gets automatically archived in PDF format.
For purposes of this example we'll assume that there are five different
Notes mailboxes and
that there is a mailbox folder called Acme project
in each of the mailboxes.
In order to set up automated email archiving, an archiving job was created
in the SWING PDF Converter database
installed on a server. The archiving job consists of several simple settings
including the Source, Output, Conversion and Schedule settings.
On the Source tab we selected the users whose emails are to be archived
and we also selected the Acme project folder.
On the output tab we selected a folder on the server
where the PDF archives will be saved and we also set up a simple naming rule
for the PDF files.
On the Conversion tab we selected the preferred PDF creation settings for the
archiving job and
we left the other advanced options unchanged.
Finally, on the Schedule tab we opted to run the archiving job once every day
at 3 a.m.
After saving the archiving job settings SWING PDF Converter will start
converting the emails found in the Acme project folders
of all five mailbox. From the user's perspective nothing has changed and they
continue moving project-related
emails to appropriate folders normally.
On the server side, all new emails appearing in the Acme project folders
will be converted to PDF and saved.
Using SWING PDF Converter's advanced features
the archiving job can be further fine-tuned to meet any
specific requirements.
For example, the destination folders can be created dynamically based on a
predefined criteria,
custom agents may be called to run post processing tasks on the emails
or the PDF files, email properties can be exported to PDF metadata
or to an XML file and so on. It's even possible to send the PDF files directly
to an ECM system such as Microsoft SharePoint or IBM FileNet.
