This short video walks through the steps needed to complete a renewal of authorized access
for a dbGaP project.
If needed, you can get to the login page from the link, Apply for Controlled Access Data,
on the dbGaP homepage. I'll begin already logged in.
Under the Actions column on the My Projects page, locate the project needing renewal and
click the link, renew project.
Most of these tabs should be familiar. The new pages for this renewal process are Research
Progress, Presentations, and Publications and Manuscripts, so if you have no changes
to make on the Research Project, Collaborators, or IT Director pages, you can proceed to Research
Progress. You need to supply text for Research Progress and Plans, at a minimum, and possibly
amend your Research Use Statement, depending on your answers to these questions. I'm ready
to move to Presentations, so I'll click Save and Continue.
This section is used to list any posters or talks by you or your internal collaborators
that are based on the dbGaP data in this project. You should also include future presentations
that have been accepted. I've entered one presentation and will click Save and Continue.
Similar to presentations, here you should list manuscripts you have published that describe
your use of the dbGaP data. If you input a PubMed ID, the Look up function populates
these fields for you. I'm finished here, so I'll save and continue...
It is good to review the Data Security page. This is where you would indicate that you
have changed institutions, or added collaborators, or had a data security issue. If you made
additions to this page, click Save and Continue.
One use of this renewal form is to add new datasets to the project. Be aware however,
that requesting additional datasets requires amending the Research Use Statement (RUS),
which can be done on the Research Project page. I'm not adding any datasets, so I'll
move to the Review DUC page.
If you haven't read your Data Use Certificates in a while, we encourage that you do that
now, and if you've added datasets that require IRB, Institutional Review Board, approval,
you will see this section called, Program-specific required attachments, that either shows the
uploaded attachments, or, as in this case, provides buttons to upload the approval form
in .pdf format. I have added my file and will click Continue.
You need to review your Research Use Statements and check the box for each dataset, indicating
that you agree to the Data Use Limitations, and then click the I agree button.
We're now on the last step. Here you should review your application and either approve
or revise it. I’ll check these boxes to approve and submit my application to the Signing
Official.
The same Data Access Committee that reviewed your initial Data Access Request will review
your renewal.
You will also receive emails at each step of the approval process, and you can come
back at any time to check the status on the My Requests page.
