Centegra Health Bridge Fitness Center Huntley, Illinois
We are at Centegra Health Bridge Fitness Center Huntley, which is in the southwestern corner
of McHenry County in northeastern Illinois, and we are a part of Centegra Health Systems,
so we are a hospital-based fitness center. And this is just one location out of two that
we have, two fitness centers. The other is in Crystal Lake, and that is about an eight-mile
drive northeast of here.
This fitness center is about 120,000 square feet: 80,000 square feet of fitness center
and then 40,000 square feet is our tennis courts. We have four indoor tennis courts.
We do have an indoor pool as well as an outdoor pool. There are four different pools in our
indoor pool. We’ve also got our fitness floor, which you can see behind me. We have
a basketball court. We have our own supervised childcare area. As a part of Centegra Health
System, we are connected also with the rehab and sports clinic, and the facility is right
here in our building. So patients who have gone through surgeries and are coming to recover
from injuries will make their way through the rehab clinic and then they can make an
actual progression into a lifestyle change and become part of our fitness center family.
We offer everything from actual personal trainers that can work with individuals to nutrition
consultations. We have wellness dietitians on staff who can speak to nutritional value
and healthy eating habits. We do teach swim lessons to children. We have group exercise
classes that are part of the regular membership as well as specialty programs like Pilates.
We teach classes that are age-specific as well, specifically for those that are over
50.
We are connected with the hospital’s information systems, so part of my role is to be the liaison.
We certainly use Spectrum NG and we work with CSI Software to run our business, but from
an information systems perspective we use the hospital network. We do have our own server
that we have located within the network. And then all of our data, we self host our data
and that’s all communicated to both of the facilities through the hospital network.
Accounts Receivable and Billing It’s very helpful to be able to run all
of our billing for both sites through the Accounts Receivable module. So we are able
to bill on a monthly basis. We’ve been able to also do specialty billing on a periodic
basis. But that is the module that we use to process all of our credit cards, to make
sure that our monthly billing is happening on a regular basis. From a billing perspective,
everything that we need to accomplish in terms of charging members for the membership and
billing them accurately, we utilize Spectrum NG for.
Program Registration The way that we set up our program registration
is based on four sessions throughout the year, so it goes by season. And we build all of
our course programming into each of those sessions. We’re able to operate by accessing
both sites, which is very helpful from a customer service perspective. If somebody presents
in Huntley, because we’re a multi-site organization, we can easily access available spaces in a
program at the other site, and still sign that person up and get them into the program
without having to send them to another location. The Program Registration module helps us to
do our business because on multiple levels we’re able to access information that we
need to be able to not only continue to provide programs to people where we know that there’s
a need but also look for opportunities where we could be doing something different or could
be offering more.
Scheduler We do utilize the Scheduler for tennis court
reservations because we can offer singles reservations, doubles reservations. We do
have a flex league. We have a lot of private lessons and semi-private, and group lessons
that go on. So with only four courts, it is challenging to manage all that unless you
have something that can easily tell you when a court is available and also can for convenience
if need be charge the appropriate fees for using that court time. So we’ve set up the
Scheduler module, especially that tennis category, to take all of the guesswork out of what somebody
would owe for their court time. Based on the set up, we can say by time of day and also
by membership type what the appropriate court fee would be for somebody that was making
a reservation.
Prospect Management The Prospect Management piece enables us to
at least capture basic information from people who walk through our doors, and it allows
to track who on our membership sales team is following up with an individual, who has
been making contact, whether or not an individual is very interested in joining or whether they’re
kind of on the fence. And it gives us the ability to figure out how to go about making
a connection and building a relationship with this individual.
Contract Management And then once we go from the Prospect Management
into the Contract module, we do have a custom contract set up so that we’ve got individual
fields, data fields, from their transactions and the type of membership they’re signing
up for, dropping into the contract. So it prints off, and we can show them exactly what
they’re purchasing, what they’re paying, what their membership type is, as well as
our own unique policies page that helps us to communicate to them what some of their
benefits are as a member.
Spa Management We do offer spa services at both facilities.
We can do massage therapy both in Crystal Lake and at Huntley. We also provide nail
services as well as aesthetics in our Crystal Lake facility. And so being able to schedule
appointments for both facilities is pretty important and to be able to help members to
find a time that’s going to work best with their schedule with the technician or the
therapist that they prefer to work with. We need to have that ability to see what’s
going on at both facilities. So we’ve set up the spa scheduler to clearly show who’s
available and when are they available. And also because different membership types receive
different discounts on spa services, we’re able to make it easy for the end user so that
when somebody is finished with their service, it’s already set up to know exactly how
much they owe rather than having to put any guesswork into it and changing pricing. It’s
all set up ahead of time.
I think the thing that is so beneficial and so unique about Spectrum NG is that it has
a lot of diversity in it, and you can almost tailor the software to do what you need it
to do for your business.
