Welcome, my name is Brooks Gibbs
And we are continuing in our series
Of Listen conferencing software training
Today we are going to be talking about
Our meeting suite software package
And meeting suite the software package
Is built around what we call discussion
And discussion has several elements to it
It's much like buying a window's user
Platform where you've got multiple
Software pulling that together
Room Configurator where we design and
Build our rooms
The meeting manager where we create
Meetings and save those in the database
Our operator which allows us to operate
A live meeting
All of those come together to create
What we call the discussion package
And when we add signage and voting
Along with our discussion it creates
Meeting suite and that is the software
Package that we typically use in conjunction
With all of our different applications
On the conferencing system
Today we are going to reviewing the
Operator tool which is a tool used for
Managing a live conference session
As we get into that we will see that
There are four primary screens that
We will work with
The first one is going to be our
Synoptic microphone screen where we will
See primarily what is happening on a visual
Graphic of the room
We will also have a delegate list
Where we can identify what is happening
By a list of the delegates
We have a view of the agenda
Where we can see what is happening
On the agenda
And finally we have a screen that is
Our timers control letting us know
What is going on
So what I'd like to do is jump over to
Our operator application
This is the opening screen of the operator
Application and the first thing we have to do
Is choose a meeting that we've created
Meetings in a database using our
Meeting manager that we talked about earlier
And those are all showing up in the list
And we can pick a specific meeting that
Was scheduled for a date and time
Today we are going to create a new meeting
Based upon a template
We're going to select a template
And this is the template
Our demo software meeting display
And we are going to open that up
And what that does is open up the
Operator application
And gets everything ready, links up to
The database
And you'll notice it starts with this
Bar at the top
The very first saying are you ready to
Start the meeting
We'll go ahead and start the meeting
Which will do our final connection to
The database and start the timers
And push the screen out for
Everyone to see in the room
And it defaults into the
Home page over on our tab which is the
Synoptic graphical view
In the graphical view we have all of our
Microphones represented in icons over the
Top of a graphical layer
And as an operator we can see those icons
And you'll notice as individuals turn
Their microphones on and off we will get
A status indication there and over in our
List we will get a list of who is actually
Active and do it
We also have the ability of taking our mouse
Over and clicking on that and turning
It on externally
Gives us control as well as status
So I can turn those individual microphones
On and off using the microphone
Synoptic control
Across the top we have a menu that gives
Us control of many things going on
Associated with the meeting
In this area right in here this is
Where we are able to set up the
Operating mode of the microphones
Whether they want to have the operator
Select who is going to go on
Whether they want to request
Meaning Raise their hand
And then we go through direct speak
Which is where we are at now
Where I just push my button and roll through
We also have the ability of determining
How many microphones we will allow open
As we go through that system
We have our timers that we can either
Disable or reset
We can control the volume here
Of the audio in the room directly from
The PC
The gain of our microphone or
Gain reduction
And then this would be if we are using
Our next function because people were
Popping into our request list and we
Wanted to take them in that order
And the agenda giving us our previous index
This bar typically remains on the top
And we work through that
Let's now jump into our screen
That is going to be our delegate list
You notice we really haven't had
Anything change up here
I've had my view of what's going on
In the Room now instead of on a graphical
Display it's literally in a list
That we could do alphabetically or sort
In any other way to control what's
Going on with those particular systems
Still having our list over here
We now jump into what is our agenda
That we have set up and we can see
What the agenda items are
And as we select an item you'll notice it
Becomes highlighted with the arrow
And we can see what is going on through there
And we have the ability through the
Previous and next function of being able
To move through the agenda
Now the top bar has changed and moved
Over to our agenda screen
And we actually have the ability of
Adding agenda items, deleting agenda
Items and editing those agenda items here
So we're in a meeting we can actually
Edit and control what's going on with our
Agenda
Seeing more of what's happening with
That agenda by double clicking on them
Or expanding them down
If I were to add an item
You can bring that item in
And (cough) excuse me
We can add an item and edit that
If we want
Or we can here's our new discussion item
Delete the item
Are you sure you want to remove
Yes we do want to remove
Now we are going to jump down into our
Last graphical display which is really
Our timers display
And um what that does is basically give us
The ability to see the individual
Timers on individuals who are talking in
The system and manage those timers
That are associated with that
I'm not going to spend a lot of time
In this because it's not necessarily
Something that is used a lot
We're going to come back over here
And recognize that where we are going
To spend our time is typically looking at
Which microphones are being used
Our speaker list and request list
And/or looking at our agenda
And managing what is going on with
Our agenda through the system
So the operator gives us the ability
Of being able to work through
All of the agenda items and those
Type of things
We're going on one last segment
I'm gonna come down and when we come
To a voting item on our agenda
You'll notice we had a new tab
Pop up on the top
And as I select that that basically
Now pulls up a bar for me to control
The voting
And I can indeed start a vote
Which pushes that out and activates
The actual screen so that they are voting
If it was set up as a timed vote
It will time out
I can stop the vote
Clear the vote
And move back onto my
Agenda items
And/or home to see what's happening
With the synoptic view
Again this is a great piece
Of software that allows any operator
To control live what is going on in
A meeting
