Hi everyone. This is Mike from OCLC. In this video, we will show ILL group member libraries
how to renew requests in WorldShare ILL.
So to start off, let's look at our little diagram of the request process. So if we're
a part of an ILL group, we will have a management center to whom we send our requests and that
management center will actually pass the request on to a lender to fill that request for us.
But if we have elected to use the lightweight version of the WorldShare ILL interface to
assist in the processing of items, the lending library can send those items directly to us,
the member library, if the constant data has our address on it.
The member library can then take the main actions that a borrowing library takes on
items which is receiving and returning those items.
Now one nice thing that this lightweight interface for WorldShare ILL offers is that it gives
group member libraries the ability to send a renewal request back to the lending library
because if the patron comes to the member and says, "Can I have this item a little longer?"
if the member library is using this lightweight interface for WorldShare ILL, they can send
the renewal request directly to the lender. They don't have to go through their center
to make that renewal request.
So that's what we want to take a look at here today is how to create that renewal request.
So the items that we want to find to renew are going to be in the Received/In Use category
in our WorldShare ILL queue and when we're renewing items, we can choose to suggest the
desired due date for those items if we want to.
So let's go over to WorldShare ILL. Wait. One last thing is that we do have some specific
categories for renewed items. There's Renewal Requested which is just an overall queue of
the items that we have submitted renewal requests for. So if we just want to see the total list,
anything in renewal request that we're kind of still waiting for the lender to respond
to a renewal request.
Renewal Approved and Renewal Denied, those are pretty straightforward. The requests which
have been approved will appear in this queue, Renewal Approved queue. The requests that
have been denied will be in the Renewal Denied queue.
Now let's go over to my group member interface, the lightweight interface. We call it lightweight
because you do not have the ability to search WorldCat. You can create a new request with
a blank request form and then you have this borrowing request menu to take actions on
items.
So any items that are in the Received/In Use queue, those are items that we have submitted
the request for. The center has sent that request on to the lender. The lender has sent
the item to us in the mail. We've marked it as "received".
So anything in Received/In Use is going to be with our patron. So if we have an item
that we want to submit a renewal request for, let's say this title The Moment, we can just
come into Received/In Use, click on the title or ID number and then take the renewal action
on it.
Now if you have a lot of items in your Received/In Use queue, remember if you go back to your
ILL home screen, you can always search for an item. So I can search for the title and
I can search for The Moment. Click Go and that should take me right to the item.
So whichever way you want to access the item that you want to renew, either from the Received/In
Use queue or from doing a search in the ILL home screen, entirely up to you.
So here we are on the request form for the item. In the Request Details section, that's
where we're going to find the due date and who the current lender is, their symbol.
If I want this item a little bit longer, what I can do is come up to this section here.
I can click on the Renew Item button to send the renewal request back to the lender.
The lender is ultimately going to be the one who sets the due date for the renewal. But
that's even if they choose to grant the renewal because it's totally the lender's prerogative
whether or not they grant renewals and what the renewal period will be.
If we want to suggest a desired due date for the renewal, we can click on this little calendar
icon and I think our original due date is April 4th. So hey, wouldn't it be nice to
have this item until April 25th? We can suggest that to the lender but again it's up to them
whether or not they will grant the renewal and what the renewal period will be.
So all we have to do is just simply click on the Renew Item button and then we get a
confirmation that a renewal request was sent to the lender. So that item has now moved
from the Received/In Use queue that it was in down to the Renewal Requested. Remember
Renewal Requested is just the queue of items for which we are waiting a response to a renewal
request.
Any items for which the renewal has been approved will appear in the Renewal Approved queue.
One thing to note about the Renewal Approved queue is that the due date that displays in
the queue itself is still going to be the original due date. We do have to go into the
item, click on the title or ID number and scroll down a little bit in the Request Details
section to see what the new due date is, if it has been granted.
So that is one little kind of quirk of the system that we're trying to work out. So just
be aware of that with your Renewal Approved items. If we had an item in Renewal Denied,
it would appear the same way here and if any item in Renewal Denied, the original due date
would still apply.
So it's a great idea to use this lightweight interface because it gives you the ability
to track your request, submit these renewal requests on your own. You don't have to go
through your center to manage any of these basic actions that a borrower takes on requests.
So you do have to set up a password, get your username and custom web address from your
management center, but you do set up your own password for this group member interface,
the lightweight interface that we're looking at. So it's a great idea to have all that
information so that you can come in and take these processing actions on items.
