qualifiedaddress.com presents - CASS Certified Scrubbing Service Tutorial
For this tutorial we will start out with your data file in a spreadsheet format. We recommend
that you save your file as a tab-delimited text file or an Excel file version 2003 or
earlier.
Now, navigate to your account on qualifiedaddress.com and then click on "Manage" in the List Scrubbing
Services. This will show you any lists that you have uploaded previously. Click on "upload
new list", select your data file and hit "next".
Notice that the filetype is automatically selected. If not selected, simply choose the
file type that your are using and hit "next"
If your spreadsheet has multiple sheets, you will need to specify on which sheet your data
is found, then click the box that says "First row contains column names" if that applies
to your file. Usually it will. Hit "next" when you're ready to move on.
Here, you'll get a chance to preview the data file. You can rename column names here if
you like. Click "next" to move on.
This the most important step, field mapping. This is where you tell our system the type
of information that is in each field. You simply match up the field on the left with
the field on the right. First we'll match the GivenName field in your
file to the First Name field in our system. Next, MiddleInitial matches with Middle Name,
Surname matches with Last Name and so on. Any field from your file without an exact
match should be mapped to the field at the bottom named other. Make sure that you map
all the data from your file that you want in the output file.
Any fields from your data that you don't map to ours will NOT be included in the output
file. When finished, click "next."
Now you get a chance to verify the field mapping that you did on the previous step. If everything
looks right, click "Add list to Account". If not, click "previous" to go back and do
it again.
The final step is to choose which scrubbing service you need. If you need Delivery Point
Validiation such as for Bulk Mailing, then choose the Certified Scrubbing. If you are
just cleaning up a mailing list and DON'T need the CASS form, then choose the Standard
Scrubbing. If you haven't already purchased enough credits for the list that you want
to process, you do that now by clicking "Proceed To Checkout". I'm going to do the Certified
scrubbing, so I'll select it and hit "submit".
That's it. Our system is now scrubbing your addresses and will send you an email as soon
as it is ready for download. This usually takes about 3-5 minutes (longer, depending
on the list size) At this point I will click on the "list details" link to see the progress.
OK, the scrubbing job is finished. This one took just under two minutes 500 for addresses.
If you scroll down a little, you can see the scrubbing stastics on the left. It looks like
479 addresses were standardized and 460 of them now have a confirmed delivery point.
That means that 90.4% of this list is ready to mail out and should now be delivered successfully.
Scroll down a little more and you will see the CASS Summary Report. This will need to
be filled out. You can then print it and keep it on file or turn it in to the Post Office
with your mailing. Click on "Download CASS Summary Report". This
is what the report looks like.
Now we'll click on the green download button to download the new address list that was
just scrubbed.
You'll see two files. One is the data file and the other is a readme file. Let's look
at the readme file first. This has instructions on how to understand and use the data in the
new address list. It also has some frequently asked questions. I definitely recommend reading
it at least once. The readme file will be included each time you download an address
list from our website.
You can open up your address list in your spreadsheet application of choice. Notice
that your data is intact and in the same format that you sent it to us. Our system doesn't
modify your original data, it adds new columns that contain the corrected and verified data.
You'll want to remove the failed and duplicate addresses and then look into why they failed
the verification process.
Take a few minutes and get familiar with the new address file, as well as the readme file.
After that you're ready to go. You now have an address list that is clean, standardized,
validated, and ready to mail out.
