Welcome to State Jobs version 2 training.
Today we'll be covering How to Log Into the System.
The web address that you go to is:
secure.neogov.com
Once you've typed that into your browser,
you will come to this screen. And you'll want to log in with your user name and password.
Your user name will be your complete Utah.gov
email address and then your password. Remember that your passwords will follow the
DTS standards.
Once you've entered your user name and password, click "Sign In"
and it should bring you to your dashboard.

Welcome to State Jobs version 2 training.
Today we will be covering, How to Create a Requisition.
Once you've logged into the system,
you'll want to click on "Open New Requisition"
From here, you will then select an appropriate job title for the position you're wishing to fill.
For today's purposes, we will be using the Driver's License Examiner position.
So you will slide over to the right under "Create New"
From here you can see there are several
required fields. These are all that is required to create a requisition.
You do not have to fill the "Desired Start Date"
unless you choose to.
If there is a different "Working Title" then the given title,
you may enter that now.
Enter the number of Vacancies that you are looking to fill.
The Department for which this recruitment will be for.
The "Division" and then who the "Hiring official" is.
From here you will see"Job Term" and you can go ahead and click on the drop down
and you will want to select whether it is Full-time,
Part-time, Internship position,
Seasonal, or Temporary. You not have to select from the "List Type"
and the "Position Type" you'll want to go ahead and leave blank as well.
Same with the "Position Control." Under "Skills" if there are any specific skills
that are required for this position, please enter those here.
If you need further room, go ahead and enter any Comments as well.
In the Comments box you'll want to include
any salary requirements that you are looking to have as well.
For the "Approval" section
go ahead and click "No Approvals." Then we are going to go ahead and
click "Save and Release." It brings us to a confirmation screen to show us exactly
what we are requesting on the requisition.
From here, this will then go to HR.

Today we'll be covering: Opening a New Requisition.
To create a new requisition, click on the "Open New Requisition" button.
and from here it will bring you to a list of job titles.
Go ahead and select the job title that you are wishing to fill.
Go over under "Requisition" and click on "Create New"
From here you can see there are several required fields that
are needed to open this requisition. The first one is "Requisition Number"
This one will auto-assign once you have saved the requisition.
If there is a different Working Title than the given Job Title
please enter that in now. For "Vacancies"
enter in the number vacancy you are looking to fill in this position.
Under "Department" go ahead and click on the drop down and find your department.
Under "Division" click on the drop down and select your appropriate division.
Under "Hiring Manager"
select the appropriate hiring official. Under "Job Term"
select whether this is a Full-time position, Internship,
Part-time, Regular, Seasonal, or Temporary.
The next three sections are not required to fill out
so skip over "List Type" "Position Type"
and "Position Control." On the next section, if there are any required skills,
please enter those now. Enter any comments that you need to pass along
to have this approved. For a multiple level approval,
you will click on the "Select" button and select which department this is going to
go to first for an approval.
Select the name. If you have more than one approval,
selection your next approver. And on your final approval,
make sure that you select the radio button that says "Final Approval"
and then select the final name. You will then scroll to the bottom
and click "Save and Release" if you are ready to release it to the approvers.
To add an attachment, click on "Save Only"
It will bring you to your preview screen.
You will see under "Attachments" that you can now add
a new attachment. If you need to add any justification
or any other documentation, you may click on "Add New"
Enter in the file description
and then search for the file. Then click on "Up-load."
Once you've completed that
go back to your main screen. Click on"Edit"
Scroll to the bottom
and click on "Save and Release"
This will bring you back to your confirmation page again,
and then it will forward over to your approvers.
You can come back and see which one has approved it at that time.

Today we will be covering: How to Approve
a Requisition. To approve a requisition,
you'll want to hover over "Approvals"
and then click on "Requisitions" This will bring up any pending requisitions that
are awaiting your action.
As you can see from the list, I have one
that is pending approval . It is for a Human Resource Analyst position
To view the requisition,
click on the "Job Title." Here it's going to bring up that confirmation page
and it gives you of the information on this recruitment.
It gives us the requisition number, the number vacancies,
the department and the division, who the hiring official is,
The position is full-time. If there were any skills
that they had entered in or any comments, you would see those here
you can see who the other approvers are that are pending.
And if there were any attachments, they would show up here and you could hit us
as well.
To go back to the previous screen click the "Back arrow."
and then from here,
you're going to click on either "Approve" or "Deny." You can also reassign
this action to another hiring official or approver
if you are not going to be in the office at the time.
To approve the requisition, click on "Approve/Deny."
on the drop-down you will select either "Approved"
"Deny, On-Hold, Pending, or Cancel"
Select from the choices. If you're going to add any notes to the system,
you may enter those now and the other approved will see your comments
as well.
Once you have completed entering in your notes,
click on "Save" and it will bring you back
to the previous screen. Here you can see that same requisition is now showing
"In-Progress"
To view any history on it, you can click on the history baton
and it will show you the date and time
that I approved the action. If I returned it to anybody it was shown that as well.

Today we'll be covering: How to Use the Referral list.
As you can see, I'm on my hiring official dashboard.
To access my "Referred List" or my "Hiring list"
hover over your name, click on "My List"
Locate the recruitment that you're looking for with the candidates.
Click on "View." Here you will see that I have five candidates that were referred to me.
To view the "Candidate Information," click on their name.
here it is going to give you all of their
contact information so you can schedule an interview. And you can also see
if they had any education experience or any work experience.
They can list that as well. Also, if they had any attachments,
they would be included down here and you could open up the attachments.
You can also view the questions and how they answered those questions from the
application.
To go back to "Referred List," click here.
Now once you've scheduled
your interviews and you've made
your verbal offer, what you want to do
is select your candidate under the drop-down,
click, "Hire" click on "Go"
and then once the page opens what you'll want to do is complete
the "New Hire Offer" form. What this does is it triggers
HR to complete the new hire process. As you can see we only have a few
fields that are required to move forward.
"Offer Amount" is not required, but if you can please include the amount
that you offered your candidate
to start, please enter that there.
Also, if the "Start Date" is different
please enter that in. The system will default it to the day that you're filling
out the form.
If there are any comments that you would like to make to your
HR person, please enter those here. "First Day of Work" information- this is for the
candidate that you're hiring- so if there is
anything specific that you would like them to bring with them on their first day of work,
please enter that in here.
If not, please give that information to your recruiter and they can fill it out
as well.
Please fill in your name and if you know your EIN, please enter your EIN
The rest of the fields will all be completed by HR.
Scroll to the bottom. If your agency has decided not to do any approvals through
the hire process, click here where it says, "No Approvals."
and then click on "Save and Release"
this will then trigger it to go to HR. With the remaining four candidates,
please select the button to select them all,
under the drop-down
mark "Reject" then click "Go"
and then what you want to do
is under the "Reason" you did not select them,
(generally it will probably be "Interviewed others more qualified")
So once you've done that, click "Save" and you as can see from the column
I now have "0" in my "Referred" column and in my "Hired," I have "1"
and in "Rejected" I have "4." So I've moved those other four candidates
over to the "Rejected" list. This concludes this portion of
