Google Docs are documents or files that you’ve created or uploaded to your Google Drive.
You can link your docs or files from Google Drive to a contact, organization, opportunity
or project in Insightly. Simply choose an item, let’s say a contact, and click on
the sub tab that says Docs.
Click the “Add a Doc” link and your Google Drive file list will pop up. You can browse
or search for the file you wish to link to this contact.
Insightly will show a yellow star to the right of the checkbox for any files you’ve starred
in Google Drive, and any documents in the list that are already linked to the current
item will have a tick next to their name instead of a check box. We show a different icon for
documents, spreadsheets, presentations, pdf's and drawings so you can distinguish them easily,
and on the right hand side we also show the date the document was last updated.
Remember that if you're going to link documents that other users will want to view, set the
appropriate permissions for those files within Google Drive itself. Also, Documents linked
from Insightly to Google Drive do NOT count against the account storage maximum since
they are only links to information and stored on Google.
The default view of Google Docs is your personal Google Docs folders. If you need to link to
a SHARED folder you will have to search for it. But shared folders are not displayed in
the default view on that tab. You can navigate between folders in your Google Drive by clicking
on each folder to expand it. Clicking on an expanded folder again closes it. Insightly
will even let you link an entire folder to an item in Insightly, which might be useful
if all the files in that folder pertain to this contact.
When you find the file that you wish to link, click the checkbox next to it’s name, and
then click the “Add Doc to Contact” bottom at the bottom, and Voila! Your file in Google
Drive is now linked to your contact in Insightly!
Now when you perform searches in Insightly, Insightly will search the file names for Google
Drive files linked to Insightly items and bring those up in search results.
