We have over 40 shopping centers that we manage
They're in Colorado, Arizona, Nevada, Georgia, and Florida
and we're here in Washington
so we have got to keep track of a lot of things
Every one of those shopping centers has leases, every one of those shopping centers has tenants,
everything from major property renovations, to small issues that the managers can't deal with on their own
Before Smartsheet, we tracked it on Excel
It wasn't very robust. It got updated once a week
It was constant emails back and forth
and there were always issues with different versions not matching up
You'd send something to somebody and they would update it and forget to send it back
or save it in a different spot on the server
We needed to be able to have one solution to be able to manage
different projects at different phases throughout the country
and we're looking a different project management solutions
We saw Smartsheet and it looked like a very streamlined, easy way to do that
and one of the things to keep my life easier is
it is something I can easily explain to people and
have them jump in and already be familiar with the format
and be able to start working within the day
We track every property, every tenant, every open leasing negotiation,
every capital project, sets, signage,
maintenace, construction, and refurbishment
So we track all of those for every property
so you've got four different vectors on over 40 different properties
and every property has between 3 and 40 tenants
The first sheet that we use has every property listed
it contains rent rolls and site plans for every property
and we also were able to attach relevant documents for the property
so for example if we're going to have a meeting in our conference room
and we need to talk about redoing the center
and look at renderings of the the property
we can attach it to Smartsheet and pull it up in there
without having to email it
Right now we're building a Starbucks Drive thru in Scottsdale, Arizona
and that's a big ticket item for us with a lot of moving parts
We've got Zach who manages it,
but if I want to know at any particular moment what's going on I can take a look at Smartsheet
and see where we're at with the progress
And that really is the biggest thing, to be able to know for sure this is the right information
and here it is in a clean interface
The app was great, being able to take photos on the road and upload things from there,
and also just check on the status
It has saved me untold hours of asking people
one question at a time either on the phone or via text
where I can just look at the answer myself and get a more robust answer than I probably would have gotten if I had called
If people aren't willing to use it because it's that couple of extra steps too much
then it's not going to be useful to us
so that was really the thing and that's why it's been able to catch on
and we're still using it two years later
So the fact that it was easy to use out of the box,
and that it's available when I'm at home looking at my tablet, or when I'm on
an airplane looking at my laptop, or if I am in my car in front of shopping center
looking at my phone, the fact that
up to the minute, today's data is available to me is great
