At regular or random intervals, your organization may wish to print membership cards for new or renewed memberships. Altru provides an easy
way to quickly print the membership cards that you need. From the Home page, click Fundraising.
In Fundraising, choose Print Membership cards.
From within Print Membership cards, you will see the processes that have already been created, either from working with your consultant
during implementation or processes created by other individuals in the organization.
You may choose an existing process if it has already been configured, or you can add a new process with different options. To choose an
existing process, either double-click the process or highlight the process and choose “Go to Process”. We’ll add a new process so
we can see what options we have when printing the cards.
When we add the Process name, you can give it a unique or general name, depending on your organizations needs. Typically, you should only
have 1 or 2 processes unless you have many membership programs. Remember, if you open an existing process, you can always click edit
which will take you to this screen where you can make adjustments to the process.
Choose the membership program you are printing cards for.
Our print options are the most important, because they decide which records to pull for printing. If we choose All Issued cards, then
every record that has a membership card with a status of Issued will be pulled into this process.
If we choose All Issued cards for selected membership level, then we can choose which level of membership we are printing cards for.
If we choose All Issued cards for selected constituents, we can choose to only print cards for a list of constituent records that we created
in Query.
For example, if you recently had an event with lots of volunteers and gave them all free memberships, but do not want to print cards for
other members at the same time, you can include this selection of Volunteers here so they are the only cards that are printed.
For card format to use, you can choose pre- configured card templates or your organization may have created new card templates specific
to your organization during implementation.
Finally, choose if you’d like to create a selection from your results, and then click Save.
Now you will see your new process listed and we can begin to run the process. Highlight your process and click Start Process, or Go to
Process and then choose Start Process.
Once you click Start Process, a box pops up asking you again if you’d like to create a selection of the constituents that are included in
the card printing process. Once you have either chosen to create a selection or decided you don’t need a selection,
click Start.
The process may take some time to run depending on the amount of records processed. Once it is complete, you will see a page tha
that shows information about the process run, such as how many records were processed and if it completed successfully.
From here you can choose to Go to results, which will show you a list of all the records that were processed. In the results, you can
manually assign card numbers to each person.
If you choose print cards, the program will again ask which card format you want to use. After you click print cards and choose card format, all
of the cards are automatically assigned a card number and now the membership card section of a constituent record will show that the status
of the card has changed from Issued to Printed.
You may also download an output file to your computer. If you have already printed the cards, you will be unable to download the output file.
This will save a csv file that you can open in Microsoft Excel of all the information in your results.
If you choose to Clear Results, all records processed will be changed back to Issued, and you would need to Start the process again to
get the same records to show in your results again. For instance, if you wanted to download the Output file but had already printed, you can
Clear results, run the process again, then download the output file before choosing to print the cards.
If you choose the History tab, you can view the previous times that this process was run. This provides a good view of how many records were
processed the last time, and you can see the status of each time this process was run. You can also download output files of the records
within a previous run of the process, by highlighting and choosing download output. Remember, this is only available if the cards
were not printed after the process was run.
You should now be able to successfully configure your card print process and print membership cards. Good luck!
