Hello and welcome to Method Integration User Tutorials. My name is
Errol and in this video series we take a look at Field Services.
Now as someone in Field Services, you probably have a number of
Employees. Let’s figure out how we can assign people to
Work Orders. The first thing to note is that your employees
don’t need to be able to sign into Method, in order to be
tasked with a Work Order. Let’s quickly create a one-off Work Order
from the Calendar. Calendar tab link... Put it in for an hour...
New… Put our friend Bob in for the Customer.
Oooh ooh! I want to show you something. Let’s say you don’t put in
a Job Name and you go to Job Item first. Let me select the
Piano Job Item. And look! The Job Name gets automatically filled in
with the Job Item. Neat hunh? Now, I’m not the one that’s
going off to do the work. Let’s change the Assigned To field to
Piano Team #1. Yes, I have a Method user named Piano Team #1.
It consist of two employees: Amy and Lupin.
Anyway, we set up the Work Order so let’s Save & Close this.
But wait! Why isn’t my Work Order here? It’s because the Calendar
is showing my Calendar. I have to change it, to show the schedule
for Piano Team #1. Let’s go to Assigned to Errol here on the left, and
hit Change. I’ll check Piano Team #1 and I’ll uncheck me.
Click Apply Filter. Ta-dah! There’s the Work Order I just made.
Now let’s say time paces and Amy and Lupin come back with their
hours. I want to update the Work Order with this and then
complete it. Let’s edit the Work Order and then navigate to the
section Time In / Time Out. This is where I can put in the hours that
were done. First we have to choose a Job Item and I will choose
Piano Lesson. One quick note: if the Job Item is not of type Service,
it won’t show up here. You can’t time track inventory, or whatever.
Anyway look! Amy automatically comes up. But wait, what kind of
team only has one person? Maybe Team Selfish. So I'm going to fix
that. Over here I have this link called Edit Team Member Defaults.
When I click that, this screen pops up. And there’s the Piano Team.
I’m going to select it, and as you can see the Team Leader
is the Method User: Piano Team #1. There’s only one employee,
so I’m going to add the second one, Lupin. And then I’ll Save & New
this and Huzzah! I’ve updated the team. If I want to create a new
team for another user, let’s say I have user Piano Team #2.
I can do that here as well. Watch, I’ll put in a team name, then
choose Piano Team #2 as Team Leader. Let’s pick some employees
at random. You probably won’t choose employees at random. Or,
maybe you would. I don’t know. Anyway, hit Save & New. And I got a
brand new team! Anyway, let’s close this, and turn our focus back to
Team #1’s Work Order. And now I’m going to reselect the Job Item.
And Ta-Dah! Both employees come up. Now I can put in a
Start Time for this, and then an End Time. It calculates the Duration.
And now I will enter the time. Enter Time. And the grid get’s
updated with both of them. One other thing, over here we have the
Default Time Track Settings. Did you notice that my Payroll Item and
the Billable Field got filled in automatically? If I click the Default Time
Track Settings, I can set the Billable Status and Payroll Fields
right here. I can also set the Labor Cost Per Hour. Anyway, I like
where my defaults are set so I’m going to cancel out of this. And
finally, for completion’s sake. I will complete this. Go back to
Tasks and Materials. And then Save & Close. Ha ha! Done!
And look! The Work Order has changed to green. That means, it’s
Completed. If you want to know what all the other colors mean,
just go over here to Status and hit Change, and they all pop up.
Pretty colors. Anyway, that’s it for this video. Once again, If you have
any questions by all means leave them in the YouTube comments,
or you can tweet us: @MethodCRM. Thanks for watching,
and I hope you have a great day! Bye bye!
