Hello I'm Brooks Gibbs
And welcome to another in our session
Of Listen conferencing software applications
Today we are going to be talking about
Our room configurator
I'd like to welcome Jeff
Along for the ride today
How are you doing Jeff
I'm doing good thank you
Well super I appreciate
You joining in today
What we're going to do today
Is we're gonna spend a little time
Learning a little bit more about the
Conferencing Software
Before we jump into our actual
Room configurator I want to give you
A brief explanation of what our
Meeting suite software package really is
It consists of an element we call Discussion
Discussion would be very similar to
Like a windows operating system
It's kind of a basic element you need
To make everything happen
It includes an application we call
Room server which manages all of
The databases and all of the information
Associated with the system
It also has a building tool called
Room configurator that allows us to
Build a room and how we would display
The microphones being active in that room
Meeting manager which is a database that
Allows us to set up multiple meetings
And to manage the agenda and also
The delegates who would be participating
In multiple meetings
And an operator function
Now all of those consist of
The digital discussion software
Now if we add a couple of other pieces
To that signage
how we want to display
The information and voting for those meetings
Where we want to vote on what's happening
We combine that with our discussion system
We actually get what we call
Our meeting suite software package
And that is typically what we sell
With our conferencing systems
For those individuals who
Really want to manage their meetings
Today we are going focus our time
On the room configurator which is
How do we define the physical synoptic design
Of the room
And that's what we are going to be talking
About here today let's move on
I want to review quickly
When you come into a conference meeting
It's set up to have a display for everyone to see
In that display you can have
As you can see in the upper left hand
Portion of this the meeting title
Telling us what meeting we are in
What's going on
Over to the right of that
We'll have a timer which times
Either up or down what the length
Of the meeting is
At the very bottom section we have
Our agenda defining the specific discussion
Items that we might be talking about
At a particular time
And over to the left side
A speaker list that identifies who
The speakers are that are currently active
In speaking at the conference
And finally we have a section we call
Our microphone synoptic view
So the question what really is
A synoptic view
It's where we take a background image
Of the room
And we overlay on top of that
Icons of microphones to give everyone
A reference physically of the status
And activity of the microphones
That are going on inside of the room
Now we can do that in a couple of ways
We could just take a picture of the room
And overlay icons on top of that
Or we could do a floor plan where
We get a top down view
And add the icons over the top of that
To do that we have to use a tool
Called room configurator
What you see sitting in front of you Jeff
Is actually the room configurator application
Let me tell you it's broken up into four
Major sections
If we look across the top of our screen
What we have is a menu bar
That menu bar has four different tabs
A home tech units synoptic node and a sign unit
All those for creating the elements
We are going to work in
If we look over on the left side
Of the screen
We'll have a column that is units
In the system
These are physical units that are attached
To a central unit and talking to it
So we know what actively is operating
On the system
And if we move over to the right hand side
We'll see that we have a list called
Nodes in the synoptic
And in the center of the screen
Essentially a display where we will graphically
Represent what is going on
Jeff, do you know what the difference is
Between an actual unit and a synoptic node
Not really no
The way this is done is the software
Takes what's called a synoptic node
And it actually makes that as a bookmark
And as we have a synoptic node
We place that on to the screen
And what we get is bookmarks of the units
That we want to have on that screen
Later what we will do is we will
Assign a specific working unit
To a node and that is where we will
Deliver the information of what's
Going on with it
So a node is a bookmark
And the assignment of that is putting
The information to a bookmark
Ah okay I see
Alright
Well what we really want to do if
We're going to create this
Is the original place we start is
With a background image
I happen to have created a seating floor plan
That we want to work with today
And I'm going to import that into
The system here and you'll notice that's
Brought that graphic into our page
That we're going to display
Now this size of it is a little bit
Different than our overall display
Page is so I'm going to use a function
That they have created in here called
Centering it which centers up the middle of that
And fill to basically fill that in the room
And I notice I still have a little offset
So I am going to use my positioning
Sensor to center that in the screen
Now all of these tools basically
Allow me to manage the size of the page
A grid for snapping icons into it
And the size of the actual image
We've now created our image
So the next thing we want to do is
Add microphone synoptic nodes
Now I can do that by selecting a number
Over on the side and add a node
If I have this I'm going to select
Just one particular node
And we'll put that node in here at seat one
Or if I know I'm going to have more microphones
At a time I could literally add up to
A total of whatever I wanted to
Additional microphones
So here are all of those microphones
And I can literally move them over and
I can just assign them by dragging them over
Using the snap mode on to the table
In front of the chairs that I want them
To be associated with
You can see now we have dropped in
Ten microphone nodes
And over on the right each one of them
Is basically given an identifier of
A seat number
Now can you read that seat number
Underneath there very easily
Just barely if I squint
Yeah it's pretty tough
So what we're going to do is
Take a function over that is a
Select all function so that we've
Selected all of our microphone nodes
That are all highlighted
Now we're going to go up here to our
Font size and we are going to increase
The font and you'll notice the font size
Is getting larger to where we
Can actually read it
Oh yeah much better
Yes so we can manage the font size
To where it's legible and would work
For us as we're going through that
And all of that would be done under
The synoptic node
Now that we've placed our nodes in there
We know that we're going to have
Up to ten microphones what we really want
To do now is go back and figure out
What do we have to work with in the way of
Physical units that are attached to the system
So as we go to detect units we are now
Looking at the units in the system
And we can retrieve which I am
Going to do and we retrieve
From the memory of the central unit
What is physically attached to that system
And available for us to use
Or we could go through and use
These buttons to do a manual initialization
You'll notice that we have five units
Over here available for use
Right right so those are the units
Are directly connected to the cu right now
They are those are the ones that are
Connected to it and this little red indicator
Indicates that we haven't assigned them
To an actual node
So there's no real communication to a
Display effort on the screen
What we're going to need to do now
Is go over to an assignment
And we are going to literally drag
A unit over to assign it to a node
So we have taken that unit number one
And placed on seat number one
Unit number five we placed on
Seat number two
You notice how the icon changed
Oh yeah
So the icon changed from just a
Place holder to literally displaying information
About the very specific unit that we have
Dragged over and placed on top of the icon
So now we have set a place marker with
The synoptic node and we have
Assigned the information to be displayed
At that place marker of a specific unit
And over here we can see all the units
That have an assignment and they are
Set up on the system
So that's a basic quick synopsis
Of how we create what we're going to create
And show from a room perspective
And this would be saved
And when we open up a meeting it will
Pull this information up and populate it
With the right names and places of people
In this synoptic node
No that's really cool
I appreciate your time Jeff
We're going to jump into a couple of
Other software elements late and
Thank you so much for your time
