Welcome to this short tour of the Safety Agenda Training Manager.
This product allows you to track your workers, their qualifications, their certificates,
and their expiry dates so that you can manage renewals.
Let’s start with a short product tour.
The first thing you’ll notice is that this is modern web-based software, not an old PC-based
application. This means there’s nothing to install, you don’t have to get your IT
department involved, and we keep backups automatically for you. Because all your data is stored securely
on the web, everyone will always see the latest version of your data, so there are no worries
over version control and document control. This is a big help for ISO:9001 compliance.
You can even export your data whenever you like, if this is needed for your business
continuity plan.
Looking at the screen, you can see I’ve signed into my account and straight away I
can see a calendar with a summary of which worker’s qualifications are expiring this
month.
First, I’m going to add a new worker, which is really simple. I just click the button
marked “Add a New Worker”. If I wanted, I could upload lots of workers at once from
an Excel spreadsheet, which helps me get started
quickly, but for now I can type details directly into the site. I can add as much or as little
information as I need, then I click the button marked Create Worker at the bottom of the
page, and the worker has been added. I can even click to add a photo of him.
We also let you store the emergency contact next of kin details for each worker, so you
can quickly find relevant details if the worst should happen.
Notice that we automatically give each worker a unique Worker Code. I’ll come back to
this shortly and show you why it’s a feature you’ll love.
Next, I can add qualifications for my worker, including medical certificates, manual handling
training and driving licences. The qualifications that appear in the dropdown list aren’t
set by us and aren’t specific to a particular industry. Instead, you build up your own list
of qualifications for YOUR company as you go along.
I can enter an expiry date for this qualification, so that I get warned in the future when the
expiry date is near. This warning will appear on the calendar on the homepage, on various
reports, and in a daily email that I can choose to have sent to me if I wish.
I can also upload one or more certificate images and PDF documents.
You can now see that in the same way I can also add training bookings and records of
induction training.
Now I’m back on the home page I have three ways to find my workers. I can search for
workers easily by name; Or I can see a list of all my workers who have a particular qualification;
or I can search by Worker Code. This is a very special feature that is unique to the
Safety Agenda Training Manager, so let’s look at it in more detail.
Every time you add a worker, we give them a special Worker Code. You can give this code
to your worker, usually by sending a text message to his phone so that he keeps the
code with him. Then, when he goes to a new site and the site manager needs to check his
certificates, your worker can give the site manager his Worker Code. The site manager
can then look up the worker immediately on the Safety Agenda Training Manager website
without having to bother you. This will save you lots of time and hassle.
The site manager doesn’t even need his own login, he can just go straight to
www.sa-trainingmanager.com, enter the code, and immediately see the certificates he needs
in order to approve your worker. You can also give these worker codes to clients if you
wish.
The reports on the Safety Agenda Training Manager are simple and powerful. I can quickly
see a summary of all my workers; a summary of workers with expired qualifications; and
a summary of workers with qualifications due to expire in the next 30 days.
