Hello and welcome to the second Millnet EthosData video clip concerning our online data room.
In the first video we showed you how the VDR look from the users prospective and in this
video we are going to show you how it looks for administration prospective.
But before I launch into all that, may I reassure that our customer services team provides 24
x 7 support which covers all aspects of the operation.
So I login here using my administration access codes, user ID and password. Then select project
Molino like before and we are off. As you can see the interface is very straight forward,
the dataroom administrator can see everything and can add content, move content, sort content,
add some practice users, keep informations, etc.
We will start with how to add content We are going to select folder no.7, which
is labeled user guides. Click add folder at the top and give it a name, we will call this
one 2009 accounts. Tick green add folder and you are creating subfolder which automatically
numberÕs itself 7.1. You can now add anything you like to that sub-folder.
To add a document is the same pattern, click on add document and then browse for the file
you want to upload and give a custom name, if you like. If you want to notify the individuals
that are able to see this documents, you can email them a message and if appropriate add
some specific comments.
ThatÕs pretty simple, but I think you can imagine it would take a long time to add large
quantities of documents that way. So we deviced a simple way in which you can add entire folders
at once. This works using zip files, so click on add folder again then click on add folder
structure which will be a zip file when it is uploaded.
Imagine we want to upload project H from our desktop including sub-folders and many documents
to the dataroom. To do that, browse, find the folder, compress it, upload it, tick green
on add folder structure and in means of no time at all you got a new project, all folders
for existing project, uploaded. And in doing this I am pleased to say it automatically
sequence the numbers itself and organize itÕs server on your desktop.
So next letÕs have a look on how to manage users. Uploading multiple users is extremely
easy. Click on the admin icon, select manage users and then go to bulk user update, all
you have to do then is cut and paste the email addresses, click carriage return and thatÕs
all done. After I uploaded them, they appear in the user directory and itÕs up to me to
decide when I invite them to join the virtual data room. Sending an invitation allows them
to know they have access to the room and allows them setup their personal account.
Finally I have got to give people permissions. And to give people permissions I have to add
them to groups that I have already created with different level of access. I can have
as many groups as I like with many peoples as I like and I can change these groups as
much as I like. So in this example I have feature to the general access group by clicking
those. Let me just show you how I double check that
I have not made any mistakes. Looking at this organization letÕs have a look what changes
Kevin can see. I can see what documents he can see, not see, whether it is watermarked
or is able to print etc., an excellent quality control tool.
