Welcome to this overview of the uTrack system at the University of Tennessee, Knoxville.
The questions you are probably asking are "What is uTrack?", "How does it work?" and
"What does it mean for the student?" Let's find out!
What is uTrack? uTrack is short for universal tracking. It is an academic monitoring system
designed to help the full-time student and their advisor focus on a plan for the student
to stay on track for a successful and timely graduation.
uTrack does not apply to students enrolled at the university prior to Summer 2013. uTrack
begins with first-time, first-year, full-time, degree-seeking college students entering the
University of Tennessee, Knoxville in the Summer or Fall of 2013. Tracking begins for
transfer students who enroll in the Summer or Fall of 2015.
How does uTrack work? uTrack lays out a road map of minimum requirements, called "milestones,"
within the student's declared major or exploratory track, for them to follow each tracking semester.
Milestones include successfully completing a minimum number of credit hours or specific
courses to meet the degree plan, completing these courses within the appropriate semester
and maintaining the minimum required GPA
What does uTrack mean for the student? If the student meets all their milestones, their
tracking status is "On-Track" and no action is required by the student. If the student
misses one or more of their milestones, their tracking status is "Off-Track" and they must
meet with their advisor as soon as possible to develop a plan to get them back on track.
Let's look at an example of the milestone requirements for the first three terms in
the Bachelor of Science in Social Work.
A student is On-Track for tracking Term 1, if they finished with a cumulative 2.0 GPA.
Otherwise, they are Off-Track.
A student is On-Track for tracking Term 2, if they maintained the previously required
2.0 GPA and completed English 102. Otherwise, they are Off-Track.
A student is On-Track for tracking Term 3, if they completed 45 credit hours and finished
with a cumulative 2.5 GPA. Otherwise, they are Off-Track.
Please note that once a milestone is required, it continues to be required in the following
tracking semesters unless the requirement changes. For example, the cumulative 2.0 GPA
from Term 1 is still required in Term 2.
Tracking only occurs during the Fall and Spring semesters. Summer semesters and mini-terms
are not tracking semesters; however, they provide an opportunity for the student to
catch up on unmet milestones. Study abroad and co-op semesters are also not tracking
semesters. Once study abroad and co-op students return to campus, their tracking will continue.
Two uTrack assessments occur during each tracking semester; a predictive assessment and an end-of-term
assessment. The tracking status results are emailed to the student through their UT email
accounts. The student can also view their tracking status from within myUTK.
The Predictive Assessment estimates the progress of the student in meeting their milestones.
It is processed after the drop and add period of the Fall and Spring semesters. The student
receives an email notifying them of their tracking status. If the student's tracking
status is "Predicted On-Track", no action is required by the student. If the student's
tracking status is "Predicted Off-Track", they must meet with their advisor to develop
a plan to get back on track before registering for the next semester.
The End-of-Term Assessment is the official assessment that checks and updates the student
tracking status and information in meeting their milestones. It is processed at the end
of the Fall and Spring semesters after grades have been posted. The student receives an
email notifying them of their tracking status. If the student's tracking status is "On-Track",
no further action is required by the student. If the student's tracking status is "Off-Track",
they are notified through their UT email address.
There are three Off-Track types that can be issued after the end-of-term assessment. Let's
discuss each.
We start with Off-Track 1. The student's tracking status is Off-Track 1 if they missed one or
more of their milestones in the tracking semester they just completed and were not off-track
in the previous tracking semester. The student must meet with their advisor as soon as possible
to develop a plan to get back on track and the advising flag is set. The flag must be
cleared by the advisor before the student can register for the next tracking term.
Next is Off Track 2. The student's tracking status is Off-Track 2 if they missed one or
more milestones for two consecutive tracking semesters without getting back on track. The
student will be prompted to meet with a new advisor and select a new major that is better
aligned with the student's academic progress. The advising flag is set. The flag must be
cleared by an advisor before the student can register for the next tracking term, regardless
of whether the student changes majors. If the student has not gotten back on track or
has not changed majors before the first day of the next tracking term, a hold is placed
on the student's registration until the student meets with an advisor and selects a new major.
And last, is Off-Track Final. The student's tracking status is Off-Track Final if they
were allowed to remain in their old major and have not gotten back on track by the end
of their 3rd consecutive Off-Track term. A hold is placed on the student's registration
immediately after an Off-Track Final status is set. The student must meet with a new advisor
to change their major as soon as possible and to develop a plan to get on track in the
new major. The pre-registered schedules for all of the student's future terms may be subject
to cancellation if the student does not select a new major in a timely manner. The advising
flag is set. The flag must be cleared by an advisor before the student can register for
the next tracking term.
uTrack Helps Our Students Succeed. On-time graduation is important to students, their
families, the University of Tennessee, Knoxville and the state of Tennessee. Students who graduate
in four years incur less debt and they don't risk losing scholarships with time or credit
hour limits. At the University of Tennessee, Knoxville, academic advising is about the
student. The student and their advisor work together to develop the student's academic
plan so they can graduate on time. uTrack assists with the development and successful
completion of this plan.
