Welcome to Epi Info 7 training.
In this video you will learn to create cascading drop down lists in the Form Designer.
Cascading drop downs simplify and streamline the process of completing
questionnaires.
Also drop downs help minimize mistakes by eliminating the need to type
responses.
I'm in the form designer
and in my questionnaire I want a user to be able to select a state from
a drop down
and then have a county dropdown automatically populate
with the corresponding counties.
And then have the appropriate hospitalist
for that selected county
before you can create
cascading dropdown list
you must have a table that was created in one of the file types that can be
imported into Epi Info 7
and I have already imported my table.
And here's the data from my table.
It's an Excel spreadsheet
of fictitious data
with state
county and hospital names
for a surveillance questionnaire.
The table name is codeHospital
and i'll be referring to it later in the video.
I'll start by right clicking on the form,
I'll select New field
and then codes.
The Question or Prompt is state
and the field name will be the same.
We'll skip the linking process because we need to create another field in order to
link it
and I'll click OK.
I'll right click again
I'll select New field and again I'll select Codes.
The Question or Prompt is county
and the field name will be the same.
Again we'll skip the linking process
and I'll click OK.
We need to create one more field because the last field has to be something other
than a Codes field.
I'll right-click,
I'll select New field and Legal Value for my last field.
And this will be Hospital.
The field name will be this is same
and this time I'll click the Browse button to access the data source. If you recall,
it's that table
named codeHospital that I mentioned at the beginning of the video.
So here we are at the Set up Code/ Legal links dialog box and I'll click Use
existing.
And I'll select the table
codeHospital.
I'll click OK.
Hospital is the field name and I'll click OK and click OK again.
Now we'll have to link the first two fields.
I'll right click on the label State
and go to properties. I need to link this to county.
If you look at the Select fields to be linked, Case status is highlighted.
I need to deselect that
and select County.
Now I'll go to the data
source.
I'll click the browse button
and Use existing
and we continue to use the same table
codeHospital
and I'll click OK.
The Match fields dialog box opens where you'll establish the relationship
between the state and county fields.
From the list select the variable name that corresponds to State and in our table it
happens to be State.
Here at the Manage fields link,
will select the field if we want to link to which is County
and the table column label happens to be County also.
Now I'll click the Link button
and in the Associated link fields box we see that that link has been established.
I'll click OK
and a click OK again.
Now we have to link the County and the Hospital.
I'll right click on the County field label,
go to properties,
and we're linking to Hospital so I'll deselect Case status,
select Hospital.
Go to the data source and
Use Existing
and our table which is codeHospital,
OK.
Now we're back at Match fields
and now the County information
needs to be linked to the County
column label in my form
and I'll link it to the hospital field.
And then the same thing - the table field also has the label of
Hospital.
I'll click the link.
In the Associated links field again you see that they're linked.
I'll click OK
and click OK again.
Now we have linked
the State field with the County field
and County with Hospital.
Next we need to test it.
And to do that we have to be in the Enter data function.
So I'll click Enter data,
I'll select a State,
which is Florida,
the county
is Alachua,
and Hospital is
Hospital 1.
If I were to select Georgia,
the county list is filtered to show only Georgia counties.
When I select a county the hospital list gets filtered accordingly.
