Hi everyone. This is Mike from OCLC. In this video, we will show you how to process unfilled
items as a borrowing library in WorldShare ILL.
So just to reiterate, an unfilled item is an item for which no lenders could be found.
So this is a request that you searched for, submitted to lenders in the system but then
the request came back from those lenders as unfilled.
So basically, you have two options as to what to do with this unfilled item and it all depends
on whether or not you still want to request this item over ILL.
So if you still need the request, you will click on the New button above the requests
to request the item again and when requesting the item again, you can verify citation by
viewing the bibliographic data for it now and you can also view the holdings link to
find new lenders for the item.
Now if the request comes back as unfilled and you no longer need it, you can cancel
the request altogether.
So let's switch over to WorldShare ILL and see how this is all done.
All my unfilled requests will be under my Borrowing Requests menu so I'm going to expand
my borrowing requests and as kind of a subcategory of Produced, that's where we can find the
unfilled requests.
So I will click on Unfilled and here's the list of all the unfilled items. So let's say
this Sarum: The Novel of England, let's take a look at that item first. So I will click
on the title or the ID number and open it up.
So we see the current status of the request is "closed (unfilled)". If I scroll down a
little bit, I can see who the lenders were in my lender string. The lender information
appears just above the "needed by" date and if I scroll all the way to the bottom of the
request form and expand this Request History section, that will tell me the reasons why
lenders said no to my request, why the request went unfilled.
So again, what I do next depends on whether or not I still need the item. If I still need
the item, I click on New to generate a new request. If I no longer need this request,
if I consulted with my patron and they said they were no longer interested, I'm going
to cancel it.
So my patron still wants this item. So I'm going to go ahead and click on this New button.
When I click on that New button, it takes me to a request form that I can edit and if
I have my constant data setup to be persistent, it will automatically apply a constant data
record. These magnifying glasses here next to the title field, the author field, the
ISBN and the OCLC number field, those will allow me to verify the citation.
So if I have the wrong citation all along, maybe I selected an item that had a low number
of holdings instead of an item that has more holdings with this title, I can redo the title
search by clicking on the magnifying glass and then here I come back to the holdings
for the item.
So maybe I had originally requested the item that only had 237 holdings. Now I want to
request the item that has 2300 holdings. What I can do in this case is actually click on
the title to look at the title page and then on that title page, there will be a button
that says, "Apply data to request new," so that's what I will do. Then you will see that
the request data gets updated with the ISBN, et cetera, et cetera.
Now, I still am not done with this request because I have no lenders yet associated with
the request and what I want to do is come back up to the top and click on this View
Holdings link.
That will allow me to choose new lenders for this item. So I click on View Holdings in
there. It takes me to the holdings display. I can apply my custom holdings path or apply
a profile group to narrow down my holdings display. Look at my regional holdings and
my state holdings.
Now I'm just going to use my training symbol once again for demonstration purposes. Once
I have my lenders in my lender string, I want to go ahead and click on the Update Request
New button.
Now that I've got the lenders added to my request, I'm going to go ahead and click Send
Request and now the request gets a brand new request ID number and goes back to the awaiting
processing.
That request that was unfilled is still going to be in this unfilled category. So we no
longer need this request now that we generated the new request, so we're just going to click
Cancel.
