Hi everyone. This is Mike from OCLC. In this video, we will show you how to process items
using batch functionality as a borrowing library in WorldShare ILL.
So batch processing, it's a big time saver for borrowing libraries because what it allows
you to do is take the same action on multiple requests. So if you have a pile of books that
you want to take all the same action on them, batch processing allows you to do that.
Now there are certain categories in WorldShare ILL that allow batch processing and they are
the In Transit category and the Received category. So when we're talking about borrower batch
processing actions, these are the two categories that allow for it.
Now the specific actions we would take on the "in transit" items would be to receive
them and on the "received" items, we would return them. So receiving and returning, those
are the actions that we're going to do the most as a borrowing library.
So these two categories In Transit and Received allow for batch processing. Let's go over
to WorldShare ILL. So from my Borrowing Requests menu on the left, I can expand the menu and
again, the two categories that allow for batch processing are In Transit and Received.
Now the way I know they allow for batch processing is because they have these icons next to them.
Any category that has an icon, a batch processing icon next to it, allows for batch processing.
So let's look at the "in transit" items. Now remember "in transit" items, these are items
that lending libraries have sent to us. These are the items that we ordered from a lending
library and now the lending library has delivered it to us. It showed up in the mail. We've
got it in our hands from the mail shipment.
So now we want to mark it as "received". Just above this In Transit queue, there's a link
that reads "Batch receive 'in transit' items". So that's what I want to click on. I want
to click on this link to open up the batch section of the queue.
So right here is the request ID number. So if I have a barcode that I can scan, I can
put my cursor into the Request ID box and scan that barcode. So for example, if a lending
library sent a book strap with the item, I can scan the barcode from that item to add
this item to my batch section.
So we add the items to the batch section that way or we can use these green plus signs to
add the item up to the batch section as well. So I can click on the green plus signs for
all the other items that have arrived in the mail today.
If I ever inadvertently put an item into the batch section and I need to remove it, I can
just click on the red X, and the item will go back down to the queue below.
Now if I want to generate my own book straps for items, I can check the box and have all
these request titles added to the book straps queue. So remember the book straps queue is
down here. So whenever I click on the received items, all these items will get added to the
book straps queue.
Again, I can adjust the received date if I need to. Otherwise, I'm just going to go ahead
and click on Receive Items to mark all four of these items as "received" simultaneously.
Big time saver over having to process each one of these items individually. I will get
a confirmation message that these items were marked as "received" and they had all their
book straps added to the book strap print queue. But now let's take a look at our received
items.
Now don't confuse this Received category with Received/In Use. You can return items from
the Received/In Use category whenever your patron is done with them. But the Received/In
Use category does not have the batch functionality. It doesn't have that little link for batch.
So we have to be in the overall Received category to see that link, to bring up the "Batch return
'received' items" link.
So these are the items in Received. These are now items that my patrons are done with.
So I'm going to click on "Batch return 'received' items" and I can just add a few items from
the queue below up to the batch section or I can scan the numbers in if I have them.
Make sure you check the box for print return labels and whenever we mark these items as
"returned," these requests will get added to the print return labels queue.
So I'm going to go ahead and click the button for Return Items. I will get the confirmation
message that both of those items were marked as "returned". Their labels are available
and I'm done processing those items.
