After emailing your paper to the KSU Psych Lab, KSU students will receive a “revised” copy in a return email.
The “revised” file will contain changes and comments in the right margins.
This video illustrates how to customize the settings so that you can most easily see what changes were made.
This is also an excellent way for you to keep track of your own changes when working on your own or in a group.
Begin by clicking on the Review tab in the Ribbon.
The three box on the left are Comments, Tracking, and Changes.
Turn the Tracking option on and off by sliding this button.
Click on the arrow at the bottom right of the Tracking box.
Notice that you can control which (and whose) revisions appear, individually or together.
Click on Preferences to customize how revisions appear in your document.
By default, Insertions and Deletions are set to the same color, but each reviewer’s revisions will be the same color.
Because revisions usually include replacing words and punctuation,
a more useful setting is to use different colors for all Insertions and for all Deletions.
An intuitive setting is to set red for deletions and blue for insertions.
You can also change how they appear in the text.
Underlining punctuation changes would prevent being able to see them clearly,
so set the Text Effects to Color Only.
Comments and Formatting changes can be set to different colors as well.
It can be difficult to see whether a change (like punctuation) has been made on a particular line.
Any changed lines can be marked with an outside border in the right margin.
You can choose another color, but black is the easiest way to spot that a change has been made on that line.
When you have set your preferences, click OK.
I will now make a few changes to this paper as an example of what Track Changes look like as they are made.
Format changes show up in the green text boxes in the right margin.
When pasting text or making any other additions,
the new text will show up in blue.
Deletions show up in the right margin in a red text box.
Notice in the left margin that a short line appears to indicate a change has been made on that line.
Insertions, Deletions, Comments, and Format changes all appear in text boxes in the right margin.
However, these can appear differently depending on your individual settings, so set your preferences to make them intuitive.
You can choose whether to include or exclude the changes and comments from your view.
Notice the default setting in the top right of the Tracking box is to show the final document and all changes.
To show only your original document (hiding any changes), select Original.
If you see in the right margin that a change has been made, but you can’t tell what the change was,
try switching between the Original and Final documents.
Although you can click on Accept or Reject in the Changes box,
this would be plagiarizing the reviewers work, and you wouldn’t learn from your mistakes.
Rather, view the “revised_” file while making corrections to your own original work.
Also, make sure to keep your APA (2010) Publication Manual next to you as you work.
