Hi, this is Dawne from OCLC. Item Level Deflection is set up in the Local Holdings Record.
There are two types of deflections for lending items -- category level which is the most
common occurs in the Policies Directory. The other is item level which actually take precedence
but it is set up in the Local Holdings Record. Item level deflection is based on the Local
Holdings Record attached to the bib record that defines local information.
So you can create and edit the Local Holdings Record through the Connexion Browser. Keep
in mind that this requires full-level cataloging authorization so you may need to work with
your technical services staff to set that item level deflection. At the item level,
deflection is either set to route the request all the time or deflect the request all the
time. There are no additional qualifiers to allow exceptions as we saw in category level
deflections. So to route or deflect the individual item,
you are going to use the codes in the zero zero eight field in the Local Holdings Record.
And, bytes 20 and 21 establish the lending and reproduction policies. And basically those
codes are set up as either A or B, and a few variations on that. But, A says route that
request to the Can You Supply queue. And deflect, B, says deflect those requests from the Can
You Supply queue. Let's take a look at what it takes to set
up a Local Holdings Record using Connexion browser and then establishing that deflection
rule. So, I'm in OCLC Connexion Browser. I've logged
in with a cataloging level authorization and the best thing to do is search by OCLC number.
I'm going to search for number 2, OCLC number 2, and do a search. And that brings back my
Mudlumps, at the south, at the mouth of the south pass, Mississippi River. That is indeed
the item that I want to make sure that it is not loaned or reproduced. Its an item that
is very old in my collection and has had a lot of wear and tear, and I don't want to
lend that item. What you need to do is look at the action
and either edit or create a local holdings. So, I'm going to create a local holdings.
This will create a Local Holdings Record that I now need to edit the Leader. So, let's go
into the Leader. Encoding level needs to be set to at least 2. So, I'm going to set that
encoding level to 2 and Apply that. Next, I'm going to look at the 008 field and
in particular the lending and reproduction policies that are in by bytes 20 and 21. Let's
so do that. I do not want to lend, so I am going to choose B, do not lend. And, I do
not want to make any copies, so I choose B, will not reproduce. And I can apply those
changes. The last thing I need to do since this is
a monograph is I need to remove or delete the 853, 863, and 866 fields. So, let me do
that. I'm going to delete the 853 which automatically deletes the 866 as well. Next, I'm going to
delete the 863. So, now that I have my Local Holdings Record set up to deflect, not allowing
copies or not allowing loans of that item to be requested.
I'm ready to add that record. And yes, I do want to continue. And, I have added that record.
So now when that specific item is requested through Interlibrary loan from my library,
it will automatically be deflected. If you have any questions, you can contact
OCLC Customer Support, support@oclc.org. And please check out our additional training class
on Deflections which covers both category and item level deflection in detail.
Thanks.
