In the Travel Request and Reimbursement module, you have the ability to create an Cash Advance.
This is a basic request for expenses you incurred and want reimbursement prior to travel.
In the next few minutes, I’ll show you how to create and submit a cash advance.
Let’s get started.
First, you want to log in to the myNorthridge Portal and access the CSUN Travel Pagelet.
This will be located under your staff tab. In the CSUN Travel pagelet, select the Travel Request & Reimbursement link.
On the Travel and Expense Center page, select Create under Cash Advance.
Once you get to the Cash Advance Employee select page, you may see a more than one name if you have more than one position on campus
OR you have delegate access to create an expense report on behalf of an employee. If neither applies, you will go to the Cash Advance page we will see next.
For those of you who want to delegate someone to create an Cash Advance on your behalf, select the Employee Self Service link, Travel and Expenses,
User Preferences and finally the Delegate Entry Authority Link.
On the Authorize Users page you can follow the instructions on the page to add a delegate.
For this example, I will choose from the list. You are looking at the Create Cash Advance page.
Starting with the top, select a business purpose followed by an Advance Description. This will be something specific to the request for the cash advance.
Next select the associated Travel Authorization. All cash advances require an approved travel authorization first.
That way the travel desk knows what trip this cash advance is for. The User Default link is view only and please do not use the Import ATM Advances link.
Let’s move to the Cash advance fields starting with the Notes bubble. Selecting this allows you to enter in any necessary notes to include for the cash advance.
The attachment link is for any invoices, or receipts associated with the cash advance. In the Source dropdown, you can choose from two options.
Select the appropriate option. In this case, I’ll select Paid by Traveler in Advance. In the Description field, enter a Description of the Cash Advance.
This field has limited characters, so be brief. Next, the amount that was paid in advance by the traveler should go in the Amount field.
You can skip the Apply tax checkbox. To add or delete another expense line for a cash advance, select the plus sign or minus sign.
The Totals section will update the total for this Cash Advance and display the amount.
Once you are finished with the Cash Advance, select the checkbox to certify that it complies with the CSUN expense policy and select the Submit Cash Advance button.
Select the OK button on the Save Confirmation dialog box.
And now you have a summary of your cash advance. This displays the report number along with the travel authorization associated with it.
