Tutorial up and downloading feature for documents
Upload frequently requested documents and allow other TimoCom users to download them.
Hello, and welcome to a new TimoCom Tutorial.
Maybe it has happened to you:
You found the right freight in TC Truck&Cargo®,
and you have made an agreement with the customer.
The only thing left is to exchange the usual documents
by fax or email.
But the number is often mistyped for a fax, and the document never arrives,
or the email attachment is too large and never makes it to the client.
Now you have to do the whole thing all over again.
To help you avoid this in the future,
I am going to show you how to upload
these documents to your company profile and publish them.
First, we click on the little house symbol,
and open myTimoCom.
As you can see, an additional feature has been added,
the 'Documents' feature.
Now we can see, for our company profile
we have already uploaded our EU Licence,
our letterhead and our good in transit insurance.
They have been published.
The only thing missing are our terms and conditions.
We will upload those now.
We select our terms and conditions,
click open and a small dialogue appears.
I see the selected file,
and select the document type 'terms and conditions'.
I can change the title here if I want to.
If I do not change it, it will remain the same as the file name.
Now I simply select the language
the document is written in,
German in this case, and upload.
Now the document is uploading.
I can see a preview.
However, and this is important:
Right now, the document is only visible
to myself and my colleagues.
Not even TimoCom can see it.
For this document to appear
in my company profile,
I have to publish it.
We can check that by taking a look
at our own profile.
And as we can see,
our company profile really does only contain
the good in transit insurance,
the letterhead and the EU
licence.
In order to publish the document
so that our business partners can also
view our terms and conditions,
we take a look at the column 'Visible in profile',
and click 'No',
which will then change to 'Yes'.
Then, when we look at our profile again,
we can see that
our terms and conditions are now visible.
Now of course we can take another look at the document.
It can be downloaded individually.
We can scroll through and move on to the second page.
Or our customers can
select all our documents or individual documents in
packets - the documents the customer needs -
and download them together.
We hope
