Hi and thanks for watching! This video is going to walk through the steps involved in configuring the print membership card process.
Membership cards are used to identify different members of your organization.
On the membership card, you can see the membership program, membership level and the expiration date of the membership.
If using daily sales, these membership cards can be scanned to identify the member.
Most times once a member is identified in daily sales, they will receive discounted tickets or even free admission-depending
on how your organization sets this up.
In Altru, you can establish a process to print different types of membership cards for various groups of members.
For example, you can create a process to print cards monthly for new members and renewals members.
The membership work center is where all membership related tasks are performed.
In the Tasks menu on this page, click Print membership cards.
From this screen, we can add, edit, delete and process the membership cards.
You can have as many processes as you like to encompass the different groups of members in your organization.
Before you add a print membership card process, you must first configure the membership card formats.
Altru contains a few preconfigured membership card formats you can use when you print membership cards.
Each card format is a mail merge document created in Microsoft Word.
The card formats use data fields that pull specific member and membership information from your database
to create the membership cards and content.
If necessary you can edit the preconfigured membership card formats.
For example, you may want to include or exclude certain merge fields in the content of the membership card document.
To edit the membership card format, from Marketing and Communications, under Configuration, click Letter template library.
Then, highlight the card format, click Edit. We can open the Word document and make any changes.
You can also add additional card formats if the preconfigured ones do not meet your needs.
The overall process of creating new membership card formats involves three main tasks: generate a membership card format header file,
create a membership card format document in Word, and add the membership card format to the Letter Template Library.
Let’s say that your membership card formats are configured.
Let’s add a print membership card
process. Give the process a unique name and description. This is especially important if you have multiple processes.
Then, select the membership program. Next, mark the limit to checkbox to limit the print membership card process to create cards for
new members, renewed members, or rejoined members.
If you do not select this checkbox, cards will be created for all members.
Next, lets select which cards we want to print. We can print all “Issued” cards which means any card that has an issued status.
Any card that has not been printed before has an “Issued” status. You can see this status on the Constituent Membership Record.
You can also print only “Issued” cards for a specific membership levels or all “Issued” cards
based on a selection of constituents from a query.
We must also select which card format will be used in this process. Will you use a full sheet letter with 2 cards,
or full sheet letter with 1 card? You might have created a unique membership card format and you would select that here.
Based on the results of this process, you can create a constituent selection.
We can mark this checkbox and give the selection a name.Once you have all your settings in place, click Save.
Let’s start the process we just created to see if we have any cards to print.
Once the process finishes running, you should see a Completed status and the number of records processed.
You can go to the results to see a list of members, print the cards or download the output to print later.
If you run this process and do not get the number of records you expected, you can clear the results
make any changes needed to the cards and rerun the process.
By clearing the results, this removes all history that this process was run from the record.
Once the membership cards are printed, they are ready to be sent to your members!
