Let's take a look at Attachments in Smartsheet
Smartsheet's attachment feature provides easy,
one click access to files and online resources
associated with the work you're tracking.
Attach files from any computer or website
and view them from any smartphone or iPad.
To get started, click the paper clip in any row
and the row attachment window will open.
Here you will find buttons to send existing attachments,
upload new files or attach from online resources.
To upload files from your computer, click the 'Upload' button
and simply select the files to attach.
Once the files are selected, click 'Open' and the files will begin to upload.
A progress window will show file size information
and status of the files to be uploaded.
After the files finish uploading, they will appear in the attachment window.
For each attachment we can see a name for the attachment,
when it was attached,
who attached it,
size and where it’s located in the sheet.
In order to edit uploaded files, we need to download the file
and open the program it was made in, in this case Microsoft Word,
re-save it
and upload a new version.
As new versions are uploaded, a small indicator
shows the total number of versions. By clicking on the indicator
we can see a list of all the versions and when they were uploaded,
even when file name is changed.
The 'Attach From' button is where we can attach links to online resources
such as a google document or web URL.
Now we can select a 'Google doc' from the list by clicking on it
Or we can create a new google document, spreadsheet or presentation.
We'll go ahead a select 'Bellevue Project' from the list.
Now because this attachment is an online resource, it doesn't need to upload.
It works as a link and will open in a web browser
rather than having to download, re-save and upload a new version.
After we have uploaded or linked our attachments, there are several things we can do.
We can email the attachment by clicking on the mail icon
and send attachment window will open.
Simply enter the recipient email address, we'll Cc ourselves and send it.
Now Smartsheet will send links to the attachments rather than the actual files.
This helps to access the attachments more
quickly and completely avoids email attachment limitations.
And for security the attachments have an expiration date.
A menu for each attachment is available by clicking on the arrow,
or right clicking anywhere on the attachment.
The check box to the right allows for multiple file actions,
where you can download, email or delete more than one file.
The Attachments tab will display every
attachment from every row within the sheet your working in.
And we can attach files from this window without having to use specific row.
If we click on the attachment name, the attachment will automatically download
if it was an uploaded file, open in a web browser if it was linked to an online resource,
or open a preview window if it's a standard image file.
