Whenever you send an item from your business premises you should make a record of the despatch
and include a printed copy with the item too. This gives both your customers and you the
ability to keep track of an item after despatch and trace its origin. This allows you to keep
a high quality of customer service and you can deal with any problems easily.
Packing notes don't have to be used just for products you send to customers. They can also
be used when returning rejected items from a supplier or if you need to send items to
off-site members of staff.
The packing note tool on Direct 9001 gives you everything you need to create packing
notes efficiently and trace them too. We'll automatically generate order numbers for you
which you can synchronise with any other order system you use. You can print the packing
numbers ready for despatch with your items and easily search the archive when you need
to trace them.
If you already have a packing notes system in place which you would prefer to use you
do not need to duplicate entries here. If you are being audited for ISO 9001 certification
make sure you show the auditor your packing notes system in operation and display your
ability to trace specific items.
To create a new packing note go to the "Packing notes" section in the "Purchasing" menu and
click the "Create a packing note" button.
Enter the order number for the item you are packing. We can generate this number for you
too. Edit this number if you wish to match it to an existing order system.
Enter the customer's details including their name and address
Enter the date it was packed. By default this is set to today's date
Select the staff member that authorised the packing
Enter a description of the items your are sending. This helps identify the contents.
Click "Save and print packing note" and we'll save your record.
We will automatically print your packing note now. If you prefer not to print just click
the cancel button on the printing options.
You can view all your packing notes in the "Packing notes" section of the "Purchasing" menu.
