Hello this is Kathryn Gauger and I'm with the Indian Affairs
Security Team today I'm going to show you how to find the role description report
so before you assign a user
new access you wanna say to yourself "How do I know what the roles mean?"
so I'm going to show you two different places I'm going to take you to the FBMS portal
and then I'm going to take you to SharePoint where we store
a link to show you how to
look at the report there so the first thing you want to do is
go to the FBMS portal at www.FBMS.doi.net
and click on 'FBMS Access'
and then you want to click on the 'Role Description Report'
here you will type in the bureau
so for Indian Affairs it is 'IA' then you want to export
the report into Excel click on the clock to execute
and 'Allow'
'Allow' again and the system will respond with a spreadsheet
so you wanna download this to your
favorites or your desktop just for viewing purposes
and you know name it today's date
anyway so you want to go in here and you can put a filter on it
click on 'Data' click on 'Filter'
and you can expand it so you can take a better look at it
let's say you're role in itself is general ledger related
you can sort by general ledger and you'll see this roles showing up
you can use that as a resource you can also go to
the Indian Affairs home page click on 'IACT'
click on 'OCFO'
Office of the Cheif Financial Officer scroll down
under 'Sites' and click on 'FBMS Project'
and then go to
'Shared Documents' in here we have set up
a 'Security Support' folder and then
under 'User Access Management' is where the user role description reports are
all the information a manager, user or Account Controller would need to
give someone access to the database and in here you wanna click on the 'FBMS Role Description Report'
you can also download this for viewing purposes
and you can filter by
the functional area so let's say you're basically just interested in knowing particular roles about Security
eventually in here there are going to be roles
about what status an employee is
whether they're a contractor, federal employee or
whether they fall under the 'Other' category there will be descriptions of that
but let's just say that you know you're not sure what the rules mean
you can come in here and just read about the role this is the role in itself there
is a full description on what it means there may be
other dependencies that go along with
the role in itself and that is something
that could be covered in another video but just to give you an overview
of how to find a role this is how you do it
