This time, we’ll cover a few advanced topics with RealtyJuggler.
Many people ask if it’s possible to search your Contacts Database by first name, last
name, spouse’s name, address, and so forth. As you can see,
this search field inside the Contacts section only
searches by name and address. But if you click on the Search All tab, you
can search the entire database. Let’s say I have a couple
of NASCAR tickets available. I know I have a prospect who likes NASCAR, but I don’t
remember who that prospect is. I just type in "NASCAR,"
and RealtyJuggler runs a Google-type search of all
of the fields in all of my databases. And here’s the prospect, with "NASCAR" as a
Hobby. Search All can be very useful. For instance,
if someone calls you but doesn’t leave a message, you
can take their phone number from your Caller ID, search for that number (just type in the
last 4 digits of the phone number), and it will find
them.
Internet Explorer can sometimes be a bit finicky about downloading files. Since RealtyJuggler
downloads files every time you need to print something, that can be a real problem. You
might see an error message like this at the top of your
screen: "To help protect your security, Internet Explorer
blocked this site from downloading files to your computer. Click here for options." That
means Internet Explorer is blocking the download.
You just need to adjust your security settings. We have a separate video that shows you how
to do that. It’s easy!
Let’s talk about linking a Contact Record to a Closing Record. I’ll go to my Closings
Database, and open a Closing Record. This record is mostly
blank, but let’s go to the Parties tab, and you can see,
there are fields for all the parties involved in the deal.
If I’m not going to need a Home Inspection, I can open the Inspector field… and Delete
it. Let’s add the buyer’s Agent to our Parties list. You
can just type in the agent’s name and contact information,
or you can look him up in your Contacts Database. Just click on First Name… and choose Look
Up Contact. I’ll just show contacts in my Agents
category. I’ll find the buyer’s agent on my list and
click on it… to fill in all his information on my Closing Record.
The blue double arrow to the right is my link back to the agent’s Contact Record. I don’t
have a telephone number for this agent. I’ll type
one in, and click Done. Notice that the phone number
doesn’t show up. It’s in the agent’s Contact Record, but not in the Parties tab
on this Closing Record. But if I click on First Name again,
I can Refresh my Contact to update all this information—including the phone number I
just added.
Let’s talk a little more about linking data. I’ll open up a Seller Record, and you can
see the Property Address is 876 Main Street. If I click on
the Property Address label, a dropdown appears. I can look up homes, add to homes, or get
help. I’ll choose Add to Homes, to create a new
Homes Record. A Seller Record focuses on the deal, the transaction,
the parties involved. A Homes Record has all the
details about the property itself: the dimensions of the house, how many bedrooms and baths,
and so forth. All these tabs let me describe the
home in even more detail. Nine times out of ten, you won’t need to
enter this much information about each of your listings in
RealtyJuggler, but if you do need to, you can.
The Backlinks tab lets me go back to the Seller Record for this property… and I can click
on the link to come back to the Home Record again. Once
you’ve established a link between two records, it’s
easy to use them together.
Another useful link for a Seller Record is Lockbox. Click on the link, and you can Look
Up a Lockbox to see any lockboxes you may have
in your inventory. In this case, I have three lockboxes: Curly,
Larry, and Moe. I can click on one of them to assign it to
this property. You can see the lockbox I assigned here—it’s Larry. And if I click on the
link, Larry is assigned to this address. In fact, if I
go back to my list of Lockboxes, I can see where each one is
located. You may not want to go into this much detail
on Realty Juggler. But it’s a handy way to keep track
of where your lockboxes are, and which ones are available.
