Welcome Faculty and Advisors to the tutorial on how to view the advisee listing and issuing Alternate PINs
otherwise known as Registration PINs in SSB,
also known as Self-Service Banner.
To begin visit: think.stedwards.edu
and from the quick links listed on the right click on My Hilltop.
Login with your current St. Edward’s user name and password.
Then, click on LOGIN towards the bottom left of the screen.
Once you are logged in you will navigate to the hyperlink under Access Banner called SSB.
Click on that link and this will take you to Self-Service Banner.
This is the home screen in Self-Service Banner (SSB) Select the Faculty Services Menu Option.
This will display the Faculty Services Menu with the available tools.
Lets view the Advisee Listing under the Student Information Menu.
Select the Student Information Menu and select Advisee listing.
You will be prompted to select the Catalog term to proceed to the Advisee Listing page.
Select the term, and click submit.
This screen shows your advisees. You may select any hyperlink to get more detailed information without the need to return to the main menu.
From the Advisee Listing, you will be able to email students individually or as an entire group.
To email a student individually, click on the email icon. To email the students as an entire group, click on Display Email List.
This will display all the students email addresses and you will be able to copy and paste the student's email addresses into your email application.
Please note, when emailing an entire class remember to use the BCC field when populating student email addresses to avoid unintentional FERPA violations.
Selecting View Transcript will prompt you to select the Transcript level
To go back to the advisee listing, click on the back arrow in your browser.
By clicking on the students name, this will give you access
to addresses and phone numbers as well as a menu bar at the bottom of the screen
that includes: student information, student e-mail addresses, final grades, and term selection.
The Alternate PIN is a unique 6 character code which will be given to all Traditional Undergraduate
and New/Returning New College and Graduate Students during the advising session.
Alternate PINs will consist of 2 alpha characters and 4 numeric characters, which will define the term of use.
For example: An Alternate PIN issued in the Fall term would follow this format: FA8945
An Alternate PIN issued for use in the Spring term, SP7632.
An Alternate PIN issued for use in the Summer term: SU9271.
Please Note: Alternate PINS are only used for one semester.
Students will contact their advisor each semester for their new registration Alternate PIN.
This PIN is required for all registration functions including adding and dropping courses.
Students are required to meet with their advisor in order to obtain this PIN.
This is replacing the registration clearance previously done in EdWeb.
PINs can be issued via phone or email.
Best practice suggests that an email follow any meeting or phone call during which a PIN was issued to keep a record of the transaction.
Should a student misplace or forget their PIN, they will need to contact their advisor.
Please note: Continuing New College and Graduate students will not be issued a PIN.
Once you have finished viewing your advisee listing, it is important to Sign out.
On the top right side of the screen click on the Sign Out link.
