Introducing the "Events Without Space Next 4 Months" feature of the WebViewer.
Click Events at the top left.
Next, choose "Events Without Space Next 4 Months" on the list below the calendar.
Then, select the Week button above the calendar.
You get a list of courses and events that are missing a space assignment for at least one of their meeting dates.
S W 4690 103, for instance, WAS imported by R25, but DOES NOT appear on the schedule grid.
Let's look it up in Banner.
The day, time, and space assignments are entered in the appropriate fields and are complete.
We need to investigate further by using the R25 client.
Just as expected...the course section has a single reservation tab with no space assignment.
Next, we click the "Assign Spaces" button and check availability of the room ED 314 (the space assigned in Banner).
Be sure that "Don't Show Spaces With Conflicts" is unchecked. We WANT to see conflicts.
There are conflicts. It appears that another event is blocking all 12 meeting dates.
Let's find out what is blocking S W 4690 103 by selecting, then right-clicking, the first date in the list.
An event was created within the R25 client, possibly as a placeholder event for the actual course section.
It must have been created prior to the transfer of S W 4690 103 from Banner to R25,
thus it effectively blocked the course section from being assigned to ED 314.
We remove the space assignment from the reservation of this event to make it available for S W 4690 103.
Now in the "Review Reservation' screen, we select the space in the left pane.
Next, we select the first event date in the right pane, then select them all (CTRL-A).
Then right-click the selected group of dates, and choose "Remove Space Assignment".
Confirm the removal, and save changes to the event.
BTW, S W 4690 103 has NOT YET been assigned to ED 314 in R25.
Something needs to be done in Banner to re-send the room assignment to R25.
Though simple, the required Banner procedure is outside the scope of this overview.
Again, we return to the "Events Without Space Next 4 Months" screen of the WebViewer.
B E 3340 104 is another course section that lacks a space assignment, and therefore does not appear on the schedule grid.
Time to check it in Banner.
Its day, time, and space assignments are complete and in the appropriate fields.
Now checking it in the R25 client.
Next, we click the "Assign Spaces" button and check availability of the room RCOE 424 (the space assigned in Banner).
One conflict with one other event appears on Friday, March 8.
It must have been created prior to the transfer of B E 3340 104 from Banner to R25,
therefore it effectively blocked the course section from being assigned to RCOE 424.
Let's remove the space assignment for RCOE 424 from the reservation of this event.
Going back to the "Events Without Space Next 4 Months" screen of the WebViewer to examine another course section.
FRE 5021 375 is a course section missing a space assignment,and it does not appear on the schedule grid.
Finding it in Banner...
FRE 5021 375 may have day and time information properly entered, however the space assignment is incomplete.
The building code ("HICKRY") has been entered in the Banner building field, while the room code ("1122") has not.
Since communication between Banner and R25 relies on data being entered in specific fields in a structured and organized fashion,
any day, time, or space information that may be contained in the comments field is of no consequence to R25.
In short: the information in a course section's comments field is for people to read and process; it has no meaning in the data transfer between Banner and R25.
Moving on to the next course on the "Events Without Space Next 4 Months" screen of the WebViewer, MUS 1112 102.
This course section has two meeting patterns, the first is missing a space assignment. while the second meeting pattern is OK.
As a result, only the second meeting pattern of this course section will appear on the schedule grid.
Let's find it in Banner.
As expected, the MW meeting pattern has a space assignment (BM 214), while the TR meeting pattern does not.
Incidentally, "TBA" is what you see in the Course Schedule Search record when both building and room fields are left blank in Banner.
Finally, here is an example of a Banner course section that would NOT be imported by R25, even if it had a space assignment.
CHE 2530 101. Notice "TBA" in the Location column.
"TBA" also appears in the Time column when both day and time fields are left blank in Banner.
The minimum requirements for a Banner course section to be imported into R25 are day and time.
This Banner course section contains neither the time-related nor the space-related data that R25 needs.
