Hi. This is Lisa with OCLC and this is how to create a copy request in WorldShare ILL.
In this video I will show you how to search using a basic or advanced search. We will
identify the record needed from the results and I will show you how to filter by custom
holdings or profiled group.
Next I will select from state, regional or all holdings and then sort and select lenders
for the lender string. I will create a request, enter the citation details including constant
data, and confirm the needed-by date before sending the request. Let's get started.
Here in WorldShare ILL, I will work from the left hand menu and click Discover Items. I
will go right to the advanced search menu by clicking the link that says "advanced search".
Here I'm going to search all of WorldCat, although I could change the search to my library
holdings if I wanted to. I'm going to keep it all of WorldCat.
The title index is already selected in the next field although I can make any adjustments
using the dropdown arrow on the right. I will enter the title of the periodical that I'm
looking for into the search field.
Next I'm going to move over to the center column and select the format Journal Magazine.
Next I will click the Search button to initiate the search.
Here on the search results screen, the results are organized with the highest number of holdings
at the top of the table. I can see from the brief look at the record that the second item
looks like the item that I want.
I can hover over the blue information button for more details or I could click the title
to open up a detailed look at the record which will include the description, link to holdings,
find related material and links to subjects.
If you click anything that's linked in this record, it will open up a new search by that
term. I will use the tab on the left hand side to return back to my search results and
from here, I can see the center column that it is not held by my library and I have links
to state, regional or all holdings.
On the right hand side, I can see the available filters. I can search by custom holdings path
by using the menu on the right or I can change this to profiled group and again select from
the menu on the right.
If I wanted to apply a filter by year or volume, I would enter that information here and click
the Go button. In this example, I'm going to click Regional Holdings to go right to
the Regional Holdings tab.
The holdings screen may be sorted by any of the column headers -- library, supplier, location,
symbol, group or holdings. Note it's sortable by any of the column headers that are underlined.
The column Days to Respond and Cost are not sortable.
You may also expand this table by using this menu option here to 40, 80 up to 1000 entries
or fewer entries if you prefer. On the right hand side, you can use the page tools to tab
to the pages.
I recommend that you sort by supplier and you can do so by clicking Supplier two times
to bring the yeses to the top of the list.
From here, if you want to take a closer look at what a library offers, click the library's
name and it will open up their OPAC and you can look at their availability.
You can also return to WorldShare Interlibrary Loan and click the blue information button
to take a look at their listing in the policies directory.
Returning to WorldShare ILL, I'm going to scroll down a bit so you can see the options.
Under Days to Respond, any library that has changed the number of days to respond in their
listing in the policies directory will show in a highlighted way.
So many of these libraries have four days to respond, the default setting, although
a couple of them have changed their days to respond to eight.
This means that you will no longer need to enter my symbol twice when you're putting
together the lender string. Notice if it's even longer than 8 days, 12 days is a different
color to highlight the difference.
Scrolling up a bit further, notice on the right hand column that any libraries that
included their local holdings information have holdings information listed in this column.
So for instance, Thomas Jefferson University has the latest three years. I know that I'm
looking for something from 2010 so I am going to click Yes to add that university listing
to a lender string.
Continuing down the list, I'm going to add a few more suppliers. You can add up to 15
lenders to the lender string in WorldShare ILL. Now scrolling up, I can review the lenders
I've added to the lender string. If I decided at this point that I would like to apply custom
holdings groups or profile groups, I would go to the All Holdings tab and here I can
apply the filter.
If I search by custom holdings path, and click Go, not only will it narrow the results but
it will automatically apply these lenders to the lender string.
If I change it to profiled group and click Go -- I will make my selection. Don't forget
to do that and then click Go. You will see the holdings in the list and you can click
Yes to add them to the lender string.
Next I will click Create Request to create my request and I will be redirected to the
request work form. From here, I would like to apply my constant data so I will start
in the upper right hand corner and make my selection.
Notice that there are no Open Access links found for this title so I know I can proceed
with the request rather than using Open Access links to fill it.
Scrolling down, I want to enter my citation details here below the record details that
have automatically populated from my search.
I will enter in my title, volume number, issue number, the date, and the pages. If I wanted
to include a note such as, "Use Article Exchange," I can put my note right there. Don't forget
to include a request needed-by date. In this case, the request needed-by date was set by
constant data which I know because it is shaded in green.
Scrolling down, I can modify the lending libraries here by dragging and dropping to reorder the
list. I can review any other information here that has been included by constant data and
the sections for Request History and Purchase Options have not yet populated because this
request is not yet live.
Once you have reviewed all of the request details, scroll back up. For the case of my
example, I'm going to remove the real libraries and put in my training lender symbol.
Scrolling all the way to the top, I'm ready to send this request. Once the request is
sent, an ID number will be applied to the request and you can click the ID number to
take a look at the request or you can find it on the left hand menu under Borrowing Requests,
Produced, Awaiting Response.
