Today we're going be using Microsoft Word to create some marketing materials for our
annual Summer Book Sale. This tutorial was made for our Summer Teen Intern Program as a way
to show them how to create marketing materials for the library. They will be responsible
for making posters and flyers to advertise this sale. After the tutorial, our youth workers
will be able to use Microsoft word to create documents with graphical properties such as
pictures, incorporating tables, and inserting page breaks. First let's start by creating
the flyer itself. Were gonna go head and type a basic title. Were gonna go a head and center
that title by clicking on the center justification button. We're going to make the title bigger
by increasing the font size and we're gonna select a title that bold and graphic and this
is a nice font for that. One of the easiest ways to incorporate design elements is using
Microsoft word themes. Themes are built into Microsoft Word 2010 and they can be inserted
at any time but it's best to do it in the beginning so you have an overall look and
feel. So i'm gonna go ahead and select the page layout tab in the ribbon and click on
themes. I'm going to scroll down to click on summer and this will our flyer a summery
look and feel. I'm gonna go a head and select a color and you can see that now the colors
have been changed to the theme. We have the green grass, the bright yellow sun, the red-hot
temperatures and below you can see our standard colors that Microsoft word defaults to. As
well as the ability to change and select multiple colors. But I'm gonna go ahead and select
a theme color. Because I want my flyer to have a pretty cohesive look to it. I'm then
gonna go ahead and insert our SmartArt graphic. In order to insert that you're gonna go on
click on the insert tab in your ribbon, click on the SmartArt tab which opens up all the
available SmartArt Illustrations. Since I want my illustration to have not only text
but pictures as well, I'm gonna go ahead and select the picture group and select this hexagon
cluster. It kinda reminds me of a honey-comb lots of bees in the summer so I think it's
a good selection for this flyer. We can adjust the size and shape of it by clicking on the
arrows and we're gonna go ahead and enter some basic information about our event. Such
as, when the events gonna be. Where it's gonna be held and the time. Microsoft Word automatically
defaults to this this sort of style based on the theme. You can further enhance the
look of your SmartArt graphic by clicking on the SmartArt styles tab and you can select
different looks but I'm going to keep mine pretty basic. I'm going to go ahead and change
the colors though to give a more summery feel and colorful look. So I clicked on the change
colors tab in the design SmartArt tools group. Now I have an overall, cohesive look to my
flyer. Now I'm going to go ahead and insert the graphic elements. I'm going to click on
this picture icon in the middle of the hexagon and this opens up another dialogue box that
lets me access all of the files and components that are on my computer itself. My images
happen to be on the desktop so I'm going to open up that folder and start inserting various
images. So now I have the images that are inserted in the SmartArt graphic but I further
want to enhance the overall look and feel of my flyer. You could use a picture editing
software such as Adobe Photoshop to edit photos but Microsoft Word allows you to edit photos
directly in the program itself. When you click on the image on your ribbon you will see the
new picture tools tab become available to you and here you can apply effects, change
the color as well as do some editing and cropping. So i'm going to go ahead and give this picture
a different color. One that is reminiscence of summer. I like this lemony yellow and I'm
select this image and do the same thing. Maybe a warmer hot red and I don't like the way
this big sale picture looks. I don't like the background of the black boarder around
it so I can go ahead and remove the background my clicking on the remove background tab on
the picture tools ribbon. You can see the background that is going to be removed is
highlighted in purple. and it looks like the majority of the white has been removed so
i am going to go ahead and click on the keep changes button. Now that black border has
been removed. I can further enhance this flyer by changing the background color and I can
do that by clicking on the page layout tab. Clicking on the page color in the paper background
group. I can go ahead and select a color that enhances my document even further. So you're
going to definitely want to select a color that makes your text and title stand out and
that one looks like it does a great job. So once we have our flyer designed were going
to want to insert our table to have a sign up sheet for volunteers. You could create
a completely different document but a simple way is to just create another page in this
document. We are going to go to the end of our first page and we're going to click on
the page layout tab and in the page set-up group, under breaks we're going to click on
section break. This is going to insert an new page and new section break into our document
and so we can allow different formatting to take place. We want our flyer to remain in
what Microsoft word calls portrait mode so we want it to be vertical. if you change it
to landscape, you can see it doesn't really work for our flyer. We want our sign-up sheet
to be in landscape mode to give more room for people to write their name and the necessary
information. So we're going to go back to the orientation icon and click on landscape,
while the second page is selected. Now we can see that our first page has remained in
portrait mode and we are going to go ahead insert our table in landscape mode. To insert
a table, it's pretty simple you go to the insert tab at the top, select table, and you
will see a live preview of what your table is going to look like. I think three columns
would be OK and we want as many rows as possible because we want a lot of sign ups. We want
to insert our title across the table. If I just started typing the title here, it would
just remain in that individual cell. In order to have it span across the entire table we
have to merge these cells, select all three cells, right-click, click merge. You now have
one large cell to type your title and we'll just type the CRDL Book Sale Sign-Up. Then we're going to start putting our headers
for our and these can be as simple as name, phone number and times I am able to work. We are going
to go ahead and highlight that and click a more appropriate sized font for our table.
In just a few quick simple steps we have created not only a flyer but a sign-up sheet. We have
learned how to manipulate photos as well as use smart art graphics. You may be wondering
if this print with this color background it maybe hard to write-on Unfortunately, you
can't separate out page color from each section so in order to make it more user friendly
and legible, you are going to have to change the second page before you print it to a white
background. This is easily done by clicking on page color and the white background. That's
it on working with SmartArt graphics and tables I encourage you to watch the other tutorials
and to play around in Microsoft Word to more familiar with all of its capabilities.
