Hi everyone. This is Mike from OCLC. In this video, we will show you how to update your
constant data for WorldShare ILL in the WorldCat Services Administrative Module.
So, for any libraries preparing to migrate to the new system WorldShare ILL, updating
your constant data is one of the most important things you can do for the WorldShare ILL migration.
So, first thing is first. What is constant data? Well remember constant data is a way
for library staff to save time when inputting their address information on an interlibrary
loan request.
So I'm going to switch over to my browser and here I am. I'm logged into the current
service WorldCat Resource Sharing. I'm actually on the form where I submit a request. So I've
got my lenders chosen. The bibliographic information is here and what I want to do is scroll down
to the borrowing information section and that's where I as a borrowing library am going to
input my address information.
So if I apply constant data, let me scroll back up really quick, we can always apply
our constant data from the little dropdown form up here. It will populate the address
fields for me. But if your address is still populating the address fields like this, in
other words your address appears as all on one line with just the slashes in between,
this is exactly what we want to change because recently, OCLC updated the constant data form
to include some additional fields to enter an address.
You can even see that update on the request form itself. Let me switch back to my browser.
So we have all these additional fields now where we can input the address information.
So if our constant data is still populating our address fields on the request form like
this, all on one line with the slashes in between, we want to make the change. We want
to log into the admin module at the address you see here on my slide and update our constant
data records so that our address will fill in those fields.
Now why is this a big deal? Why are we making such a big deal about this? Why is it so important?
Well, if your constant data is not updated for WorldShare ILL, then your labels will
print out like this top example instead of this bottom example. This is what we want,
not this.
So this is what we're seeking to change right now. So let me switch back over to my browser.
Here I am at the login screen for the admin module. I'm going to log in with my nine-digit
authorization number and password. Once I am inside the admin module, make sure the
Resource Sharing tab is blue and then come over to the Staff ILL Settings menu over here
on the left.
From that Staff ILL Settings menu, we want to select Constant Data Records. Any previously
created constant data records we have will be available in this dropdown menu. I'm going
to edit my default record.
Here's where I can see my address information all appearing on one line. So, first thing
is first. Make sure you have your library's name in the "ship to attention" field or your
institution's name and then if your address is in this old format, just start revising
it.
So I actually have a little form here to help me out, to fill it in a little bit quicker.
So I'm going to do this for my -- and then the zip code. So I'm going to do that for
my shipping and my billing address.
I'm just going to get that information out of that box where it's all in one line and
put each piece of info into its own dedicated line.
Remember in the admin module, your borrowing and lending constant data are all on one form.
So if I want to edit my lending constant data as well, I will come down here to the bottom
of the form, the default form, and update all this information down here as well.
OK, and then I want to save my changes and then my constant data should be in good shape
for the WorldShare ILL migration.
Now you can also update your constant data in the new module service configuration that
you can access from WorldShare ILL or you can do it here in the admin module until January
3rd, 2014.
