Hi everyone. This is Mike from OCLC. In this video, we will show you how to use the Purchase
Requests feature in WorldShare ILL.
So the first thing we want to say about this Purchase Requests feature is that it's a very
manual process. This Purchase Requests feature and workflow, it does not interact with any
sort of acquisitions tool that your library may use.
So whenever you're purchasing a request for your library, you do want to follow whatever
typical kind of acquisitions workflow the acquisitions librarians at the library follow.
This purchase request workflow right now is kind of more like a wish list of the items
that you would rather buy for your collection than make an ILL request for.
So this is just a way of finding out what items cost, comparing that cost to what it
would cost to submit an ILL request if there's any lender charges that might be incurred,
and then once you do that comparison, maybe you could send a note over to an acquisitions
librarian that says, "Hey, this item would be great for our collection. It's expensive
to ILL it. Why don't we purchase it instead?"
So you still want to work with your acquisitions team to make any acquisitions decisions but
the Purchase Requests feature just can come in handy for making those comparisons.
So here's the workflow we're going to follow. We're first going to search for an item in
WorldShare and then rather than submit the request for it, we're going to put it in the
review file because the request must be in the review file, also known as the New for
Review category, for us to be able to see the purchase options for it.
So let's just do that much so far and let me switch over to my WorldShare ILL interface
where I'm already logged in. So I'm going to go to Discover Items over here on the left
and I've got a title. I'm looking for a particular book on composting.
So let's say this Rodale Book of Composting is what I'm looking for. So I'm going to follow
the normal request workflow as if I was going to request the item. I'm going to click on
Regional Holdings. I could populate my lender string here if I wanted to, just to begin
comparing what it would cost to ILL the item versus purchase the item for the collection
and I'm just kind of selecting some lenders from our lender string.
I'm not looking at the policies first but you always should look at the policies before
selecting items for your lender string. Now I'm going to click on Create Request. That's
going to take me to the request form. Right here at the top of the form, instead of clicking
Send Request, I'm going to click Save for Review to put this item into the review file.
So I get a confirmation that the item was added to the review file. So let's go over
to the review file which is known as the New for Review category here in WorldShare ILL
to see this item.
So we're going to expand the Borrowing Requests menu and then click on New for Review and
we might have to do a little refresh for that title to show up. But there it is.
So now that I have the item in New for Review, I want to open up the request again and at
the bottom of the request form, there's a Purchase Options section and if I expand that
section, that's where I can see the links to online booksellers and even get a summary
of what they charge.
So once I get that information from the online booksellers, I want to record some of their
vendor information because I'm going to click on the Purchase Requests button and add their
vendor information to the purchase form.
So let me show you what I mean. I will click on the title or ID number to look at the request
form for this item. Let me make this a little bit smaller.
Now I can see the lending libraries and get a summary of their costs here. So none of
these lenders are charging for this item, but if there were any lender costs, I would
see a summary of them right here on the request form.
But if I scroll all the way down to the bottom, the section at the very bottom of the request
form is the Purchase Options. So if I expand that section, give it a moment, I can see
a summary of what it would cost to purchase this item from various online booksellers.
So if I was just to follow the link for Amazon, open it up in a new tab.
What I could do then, I could just confirm those costs for what it would cost to borrow
the book. If I want to save this URL for this item on Amazon, I could copy it, come back
to WorldShare, scroll back up to the top of the request form and now I can click on the
Purchase Requests button to open up this section.
So I will put in vendor name Amazon. I will put in the link and I think the purchase price
is somewhere around $5. I will go ahead and click Save and once I save this item, it's
going to go to my Purchasing Requests queue.
So, over here on the left, if I can expand the Purchase Requests queue, click on Purchasing
and then we do a little refresh. There it is. Then whenever we purchase this item for
our collection, we can just update this kind of wish list that is the Purchase Requests
queue and just say that we received it for the collection and that will kind of finish
this request as far as WorldShare ILL is concerned.
