Hi , this is Dawne from OCLC. This video is going to look at Category Level Deflection
in the OCLC Policies Directory. Deflection is the automated process of saying
no. Think about how much staff time it takes to review requests coming into your library.
If your institution has established lending policies, your can communicate those policies
through the Policies Directory. And that includes automating the process of those items you
aren't able to lend based on policies or license agreements. So, you can set up deflection
rules based on format, group, cost, age, and any combination of those. We will look at
some of those rules. You'll also want to create multiple policies, as needed. You want to
be very specific with each policy that you build or each deflection rule.
It is always helpful to remember that in deflection, when you see a green check, that means that
is included in the deflection. And when you see a red x, it means that is excluded from.
It is very common to exclude perhaps groups that you have a cooperative reciprocal borrowing
agreement with from your deflections. And we will see exactly how that works.
Let's head over to our WorldShare ILL home page and from the home page we do have a quick
link to the Policies Directory. So going into the Policies Directory, we want to go into
the Policies tab. The policies tab is where we set up deflection rules. We have a current
rule that I am going to recreate, but let's just look at that. Again, remembering the
green check means include in the deflection. And the red x, exclude from. So in this rule
we are going to include A/V material and we are going to exclude our training group. In
other words, if it is part of that Custom Holdings Group, Training, we are going to
allow sharing with them. Or saying, not automatically deflecting.
Let me deflection this policy -- this deflection rule. And we are going to recreate it. Go
to the add in the upper right hand corner. And give your policy a meaningful name. Other
libraries are going to be able to see that name, so it is helpful to make it very clear.
I'm calling this policy No A/V. And I'm going to have this for both loan and copy requests
because I won't copy, nor will I loan A/V materials.
My deflection type, I will choose Enable Real Time Deflection and that turns on the deflection
policy. In this particular case I'm not concerned with fees so I am not putting a cost here.
And I can now look at which Borrowers I want to include or exclude. For my example, I want
to exclude my Custom Holdings Group, Training. Because that is a group of libraries I have
a reciprocal agreement with and I don't want to deflect automatically if they make a request.
I will include the formats that I do not want to say yes to. These are the automatic no
for sound recordings and visual material, DVD and VHS. So I have A/V materials specified.
I could specify age, but it is not appropriate in this particular example. And I could put
a note in here. What I find helpful is to date your policies when you updated them.
So, I'm updating this policy on 8/21/2013. And I am ready to go ahead and save that policy.
